Position Summary: Provide a variety of advanced administrative, confidential, technical and administrative support to the Nursing program.
Under the direction of the Nursing Program Director, this individual will have the following responsibilities:
ESSENTIAL TASKS:
Respond to student and faculty inquiries, requests for information and provide assistance
Establish and maintain cooperative working relationships with other employees at Bryant & Stratton College to facilitate carrying out instructions involving other departments, transmitting information accurately and tactfully
Maintain office files, student files, faculty required documentation and other appropriate records
Prepare documents as requested by the Nursing Program Director
Proctor Nursing exams
Collaborate with the clinical/fieldwork coordinators and the Admissions Department to coordinate and maintain the Certified Background process; orient students to the processing as needed
Verify all required documentation is received for potential students before enrolling, such as but not limited to: Background Check, High School Diploma, Immunization Records, Nursing Handbook sign off
Assist Nursing Program Director with data collection and maintenance of data files on students, graduates, and accreditation activities
Maintain inventory of office & clinical supplies
Perform general clerical duties including organizing, filing, shredding, and scanning and photocopying documents and files, etc.
Compose written correspondence and materials; create and update all departmental forms and prepare for web; prepare minutes, reports, statistical data, and other materials pertaining to the Nursing program
Responsible for answering phones, responding to voice or e-mail messages, as well as sending and receiving faxes
Initiate, process and track departmental forms such as purchase orders and supply requisitions
Schedule appointments, meetings, send out meeting notices, and maintain the department calendar. Assist in coordinating accreditation activities, documents, travel arrangements, and on site visit requirements
Manage distribution of all incoming and outgoing mail; screen and respond as necessary. Assemble attachments and corresponding material. Review outgoing material for completeness, dates, and signatures
Perform assigned responsibilities, duties, and tasks according to established practices, procedures, techniques, and standards in a safe manner and with minimal supervision
ADDITIONAL DUTIES:
Assist with the pinning ceremony for graduating nursing class, awards ceremonies and orientation activities for nursing program
Perform other related duties as may be assigned
Assist in room scheduling and proctoring exams as needed
KNOWLEDGE, SKILLS, and ABILITIES:
Thorough knowledge of the principles of office management and of modern office procedures, systems and equipment
Knowledge of department and college policies, procedures, and practices with the ability to answer work related questions; and/or interpret and apply these guidelines correctly in various situations n Knowledge of business English with the ability to write in complete sentences using appropriate words, correct grammar, punctuation and spelling
Ability to use independent judgment and discretion in Detail-oriented with skills in proofreading materials
Oral and written skills to convey ideas, facts, and information effectively and accurately to students, staff, faculty, and the general public
Ability to identify what information is needed by others for effective actions
Ability to maintain confidential and sensitive information
Ability to develop and maintain filing systems
Ability to deal with internal and external communications in a tactful and courteous manner
Ability to devise or adopt office procedures to changing organizational needs
Ability to organize and coordinate functions and tasks, with frequent interruptions
Ability to establish and maintain effective working relationships internally and externally
Well-organized and self-directed n Ability both to take initiative and to follow-through
Ability to perform basic mathematic calculations
Qualifications Required:
Bachelors degree preferred
5 years’ administrative experience
Proficient typing skills; proficiency in Microsoft Word, Excel, PowerPoint, Access and use of the Internet
NON-EXEMPT POSITION:
SALARY RANGE: $37,000 - $40,000 ($17.78 - $19.23 per hour)
This position is eligible for overtime.

The selected candidate’s actual base pay for this role will take into account a wide range of non-discriminatory factors including but not limited to skill sets, experience and training, licensure and certifications, and other business and organizational needs. At Bryant & Stratton College, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case. Information about the total compensation package for this position will be provided during the interview process.
