Heritage Christian Services Respite Program Coordinator - WNY in Amherst, New York

Overview

The Respite Coordinator reports to the Associate Director of Customized Supports and is primarily responsible for the WNY Site-Based Respite programs. In addition, the Respite Coordinator will support the Customized Supports team in providing training and oversight to In-home Respite and Community Hab cases as needed. The Respite Coordinator will supervise community services and respite staff, ensuring staffing is provided in accordance to person centered supports. Lastly, the Respite Coordinator will support and promote the mission and values of Heritage Christian Services, Inc.

Pay for this position: $19.36 / hr - $22.58 / hr

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above range represents the organization's good faith and reasonable estimate of the range of possible compensation at the time of posting

Responsibilities

  • Oversight and supervision of the community services and respite staff within the department.

  • Facilitate trainings and offer development opportunities for community services and respite staff within the department.

  • Evaluate community services and respite staff on a regular basis to ensure the provision of services are in accordance to individual’s plan as well as maintaining compliance per agency policy.

  • Oversight of community services and respite staff schedules as well as providing direct support (as needed) at respite program sites. This includes submitting job requisitions for respite programs and submitting updates to the roster database as needed.

  • Responsible for community services and respite staff time records; verifying, correcting, and completing all necessary payroll documentation on a bi-weekly basis. This includes employee transfers in and out of the respite programs.

  • Oversight and maintenance of finances associated with the respite programs. This includes service authorizations, billing utilizations, staffing costs, petty cash, transportation costs, grant proposals, and other expenses of the respite programs.

  • Review, approve, and generate respite billing on a bi-weekly basis; ensuring the billing meets compliance standards and corresponding any concerns with staff in a timely manner.

  • Review respite applications and intake paperwork for completeness/thoroughness and to determine if the program(s) can safely provide respite services to the individuals. This includes facilitating an intake meeting for respite program sites.

  • Enrollment of individuals into respite programs and the removal of individuals from respite programs. This includes the inputting of biographical/demographic information, uploading electronic records, creating individual safeguards, and communicating with other team members.

  • Maintain and manage the intake database for respite programs with up-to-date information; including correspondence regarding the intake process and required documentation.

  • Plan, propose, and develop additional respite programs, with assistance from the Associate Director of Customized Supports, according to the regional needs of families searching for respite services.

  • Maintain and update individual records on a bi-annual and/or annual basis. This includes the individual’s Life Plans, LCED, respite safeguards, and all other documents related to the individual’s record.

  • Complete billing reviews on a monthly basis for respite programs. Complete compliance inquiries in a timely manner, when billing reviews do not pass standards of billing.

  • Conduct quarterly fire drills, test fire alarms and extinguishers, and address any concerns regarding the overall health and safety of individuals while at respite programs sites.

  • Report all incidents, allegations of abuse/neglect, illness, or any other unusual circumstances to the Associate Director of Customized Supports immediately. File incidents and Unusual Occurrences, as needed, for all respite programs.

  • Attend necessary meetings, trainings, and conferences within the agency and in the community.

Qualifications

  • Minimum of High School diploma or high school equivalency; college experience preferred.

  • Required to have experience in a human service field and at least one-year experience in working with people with developmental disabilities.

  • Must be able to demonstrate administrative, supervisory, time management, and organizational skills . In addition, knowledge and experience on various computer programs is preferred.

  • Must be able to effectively communicate, both written and verbal, with respite individuals, families, circles of support, and direct support staff.

  • A valid, New York state driver’s license that is compliant with Heritage Christian Services, Inc. motor vehicle record standards.

  • Physical ability to lift and assist people with transportation and/or personal care needs.
