Job Description

Ahlan Simsim, or “Welcome Sesame” in Arabic, is a groundbreaking initiative by Sesame Workshop and the IRC. It is the largest early childhood intervention in the history of humanitarian response, designed to provide transformational early childhood development and playful learning to children affected by conflict and crisis in the Middle East. Since its inception, Ahlan Simsim has reached over 3.5 million children and caregivers through direct services and engaged 27 million more through its award-winning, locally produced Arabic-language version of Sesame Street. This initiative integrates educational media with direct support programs, ensuring that children and their families receive holistic, evidence-based support to thrive despite the challenges posed by their environments.

Job Overview: Reporting to the Deputy Project Director, the Project Manager - Operations and Finance (PM-O&F) will be responsible for leading operations and administrative and supporting financial management of the Ahlan Simsim project.

Key objectives:

  • Lead regional administrative and logistical management for Ahlan Simsim

  • Lead on event and initiative coordination and management

  • Support financial tracking and analysis, in coordination with Ahlan Simsim Regional Finance Specialist

    Major Responsibilities:

    Project, Logistical and Administrative and Management

  • Lead on recruitment and management of consultant processes including tracking deliverables and payments, in coordination with relevant HR teams.

  • Responsible for payment tracking and communication, including updating the tracking sheet and informing suppliers about transfers and checks readiness for collection , in coordination with relevant finance and supply chain teams.

  • Lead on Ahlan Simsim office equipment and supply stocking and tracking.

  • Assist project team members in organizing staff and/or external meetings, conferences, and workshops, including venue logistics, travel, and transportation.

  • Ensure smooth management and coordination across the Project Management team by coordinating regular meetings and keeping track of PM deliverables and trackers

  • Through maintaining trackers, workplans and other relevant project management tools, keep up-to-date on activities and priorities across other teams to ensure synergies and priorities are duly noted and organized for maximum efficiency.

  • Coordinate regular regional team meetings from scheduling to agenda setting to follow-up with notes and on action points

  • Manage Ahlan Simsim email account

  • Ensure knowledge management of Ahlan Simsim files and making sure they’re organized and user-friendly for team members to access.

    Event and Initiative Management

  • Maintain an updated Calendar of events, workshops and travels for all Ahlan Simsim activities and donors visits and events.

  • Lead on the development and maintenance of relevant documents and briefing notes for visits, in coordination with the project team and communications colleagues

  • Liaise with SSU to ensure compliance with Supply Chain and other administrative procedures for events.

  • Lead on Ahlan Simsim regional staff initiatives and events including but not limited to Parenting Month, Team meetings, design workshops, partner visits and meetings and other staff engagement projects.

    Financial Tracking and Analysis

    Regional budget management

  • Lead on preparation and revision of quarterly regional project spending plans for Regional office budget

  • R eview spending plans for country offices and conduct regular analysis across the Master Budget to ensure agile approach to investments

  • Oversee monthly staff salary allocations

  • Track use and investments in the Ahlan Simsim pooled fund aligned with strategic priorities

    Maintain AS accounting operations and ensure compliance with IRC and regional office policies and procedures

  • Review all RO office Purchase Orders and Purchase Requests for proper coding and budget adequacy

  • Review all payment documents for proper and adequate back up

  • Verify the completeness and accuracy of all accounting documents

  • Check sub-grantee reports and arrange payments to them with Finance

    Financial Reporting

  • Coordinate quarterly financial reports for Ahlan Simsim regional budget in coordination with Ahlan Simsim finance focal point.

  • Review and give feedback on financial reports to Country Programs to improve report quality and accuracy.

  • Ensure compliance with donor rules, regulations and reporting requirements.

    Financial Analysis

  • In collaboration with the Ahlan Simsim Regional Finance Specialist, produce monthly insights across AS financial health

  • Work with the DPD and RPD on reallocation of investments based on need

  • Maintain tracker of investment priorities for future funding to analyze against new income

    Finance knowledge management and learning

  • Ensure accurate and up-to-date file management to ensure that financial documents are accessible and up to date.

  • Manage contracting and invoicing for consultants and short-term staff.

    Key Working Relationships:

Position Reports to: Deputy Project Director, Ahlan Simsim

Position supervises:As needed –Project Support (TTAs/Consultants) for Ahlan Simsim

Other Internal and/or external contacts:

  • Internal: Regional, country, and HQ staff for Ahlan Simsim; Finance staff

  • External : Sesame Workshop regionally based staff, all visitors

    Qualifications

    Demonstrated Skills, Competencies and Experience:

  • University degree in Business Administration or a relevant field

  • Minimum of 4 years of professional experience in office administration, preferably with an international NGO or multi-national firm

  • Autonomous, honest, highly responsible, and punctual

  • Excellent follow up and working well with several departments

  • Ability to improvise and be flexible when needed working under pressure

  • Excellent communication skills both verbally and in writing

  • Excellent organizational skills and ability to multi-task in fast-paced working environment

  • Fluency in English and Arabic

  • Proficiency in Microsoft Office

    Working Environment:

  • The position is based in Amman, and may include some travel to Lebanon, Iraq, Turkey, Syria, Libya and Yemen.
