Responsibilities*

This individual will provide administrative support to the Office of Research Director, Associate Dean of Research and staff.

Responsibilities involve:

  • Maintaining and ordering office supplies.

  • Welcoming office visitors and stakeholders professionally and with a helpful demeanor.

  • Working with matters of a confidential nature.

  • Coordinating with facilities on maintenance/issues.

  • Providing event and logistical support/facilitation for Office of Research events.

  • Help maintain metrics and other performance measures data for the Office of Research and Director.

  • Working with the Contracts & Grants Lead and Clinical Research Lead on special projects.

  • Processing procurement transactions, processing reimbursement requests.

  • Making travel arrangements.

  • Managing calendars and scheduling meetings for the Director and Associate Dean of Research.

  • Other duties as assigned.

Required Qualifications*

  • High School diploma and 4+ years of of broad and progressive administrative experience performing advanced, diversified and confidential duties.

  • Outstanding organizational skills with the ability to prioritize multiple tasks with competing deadlines.

  • Ability to do exceptional tracking, problem solving, paying attention to details and providing excellent and timely follow-up.

  • Strong interpersonal skills and demonstrated ability to successfully work with diverse faculty, staff and student populations and commitment to diversity, equity and inclusion.

  • Must possess demonstrated ability to take initiative and work independently.

  • Demonstrates ability to collaborate with others in a team environment, display leadership through problem solving and the initiative to improve office processes and procedures.

  • Ability to exercise a high level of initiative, discretion and judgement regarding sensitive and confidential matters.

  • Strong customer service focus.

Required Education/Experience Intermediate Level:

  • High School diploma and 2+ years of progressively responsible administrative experience.

Desired Qualifications*

  • Associate's or Bachelor's degree, experience working with higher education and with university systems.

  • Experience working with research faculty and supporting research administration related tasks.

  • Experience working with student administration/management tasks.

  • Knowledge of MPathways procurement (P-Card reconciliation, Marketsite ordering, purchase orders, running M-Reports, etc).

  • Computer experience and Google Suite (Google docs, Google sheets, and Google calendar).

Work Locations

This position is located in the School of Dentistry at 1011 N University Ave.

Underfill Statement

This position may be underfilled at a lower classification depending on the qualifications of the selected candidate.

Requirements for the underfill Administrative Assistant Intermediate title include:

Two to four years of progressively responsible administrative experience.

Salary range for the Intermediate level: $39,000 - $48,000
