Position Summary

The Administrative Assistant (AA) reports to the Associate Vice President for Institutional Effectiveness ( AVP ) and performs administrative duties for the Office of Outcomes Assessment ( OOAA ) to include monitoring of office budgets, coordination of procurement processes, coordination and maintenance of calendars, coordination of travel and meetings, understanding and maintaining administrative processes and procedures, and data management. Additionally, the (AA) will support the OOAA staff in: the administration of stakeholder surveys; execution of assessment and accreditation initiatives; and data collection, analysis, and reporting.

Minimum Qualifications

Education:

  • Associate’s degree from an accredited institution.

Experience:

  • 2-4 years of related experience with proficiency in Microsoft Office.

    Preferred Qualifications

  • Knowledge of institutional and departmental policies, procedures, and regulations.

  • Knowledge of administrative and principles, practices and methods and ability to maintain an organized work environment.

  • Excellent time management skills.

  • Skill in analyzing a variety of data, detail and task oriented; ability to manage and perform a variety of routine and complex assignments.

  • Demonstrated communication skills.

  • Ability to establish and evaluate effective working relationships with various levels of professional staff personnel.

  • Excellent organizational and interpersonal skills and telephone etiquette.

  • Must be proficient in Microsoft Office Suite (i.e. Word, PowerPoint, Excel, Outlook)

  • Must be able to type 50 wpm

Job Duties

Description of Job Duty

POSITION ACCOUNTABILITIES AND ESSENTIAL FUNCTIONS : .

  • Builds and maintains a positive working relationship with the students, faculty, staff, other MSM employees, and the public, using the principles of outstanding customer service.

  • Collects, compiles and retrieves information related to a wide range of departmental activities.

  • Independently manages and monitors timelines and processes related to submission of assessment reports, accreditation reports, and progress reports related to all OOAA initiatives.

  • Assists the AVP and OOAA staff in the preparation of presentations and reports.

  • Supports the OOAA team in the design and administration of stakeholder surveys related to OOAA initiatives.

  • Assists the AVP and OOAA staff, working with the appropriate DAFs in the maintenance of all OOAA budgets.

  • Serves as the logistical liaison between third-party vendors and internal stakeholder related to the procurement and use of software and service support solutions related to the work of OOAA .

  • Reviews, process and follow-up requests for services with vendors in an effective, efficient, and timely manner; maintains all associated records pertaining to these services.

  • Independently, monitors the OOAA email account, maintaining timely communications with all internal and external stakeholders.

  • Establish and maintain the use of SmartSheet and other productivity software applications to monitor progress for all OOAA initiatives.

  • Supports the AVP and OSIE in the management of the MSM Organizational Chart.

  • Coordinates following tasks: request quotes from institution’s pre-approved vendors; submits vendor applications and W-9 to Purchasing for vendor set-up; prepares requisitions to request purchase orders and checks; works with Purchasing and A/P to ensure requests are processed and vendor payments are made timely

  • Assists in the preparation of a variety of administrative and budgetary reports— review and maintain monthly and yearly budget and expenditure reviews.

  • Work with senior administrative staff, faculty, programs, depts. on internal and external documents.

  • Answers telephone and gives or routes information to appropriate staff; reads, analyzes and routes incoming and outgoing mail.

  • Coordinate travel and reconcile related account disbursements and expenditures

  • Maintains calendar and monitors department/faculty activities and deadlines—coordinates office events, seminars, and meetings for OOAA .

  • Serve as a proctor for exams.

    KNOWLEDGE , SKILLS , & ABILITIES :

  • Knowledge of general office procedures and skill to handle day-to-day operation of the office; personal computers with knowledge of various software packages; and skill in handling standard office equipment, (i.e. facsimiles, copiers, document scanners, calculators).

  • Knowledge of budgetary and financial management including knowledge of basic accounting principles and practices to reconcile budget and expenditure records.

  • Strong organizational, administrative, secretarial and budgetary skills to handle a variety of work effectively and efficiently.

  • Strong interpersonal skills to deal effectively, efficiently, and professionally with faculty, students, staff, vendors and the general public.

  • Proficiency in Microsoft Office (i.e. Word, PowerPoint, Excel, Outlook) and Morehouse School of Medicine enterprise software (e.g., BANNER ).

  • Proficiency in word processing, computer skills and spreadsheet applications to provide reports, type correspondence and handle efficiently a variety of other documents and information.

  • Proficiency in appropriate information technology skills and the application of information technology to contemporary education and outcomes assessment

  • Skill in managing a variety of tasks simultaneously with competing deadlines with minimum supervision in an effective and efficient manner.

Immunization Requirements

It is MSM’s Immunization policy that all Prospective Employees are required to provide proof that they are vaccinated against COVID -19 prior to commencement of employment. If employment will commence during Flu Season, MSM requires all individuals to provide proof that they are vaccinated against Seasonal Influenza for the current Flu Season, unless granted an exemption. Failure to provide proof of vaccination for any required vaccines or obtain an exemption from MSM will result in rescission of a candidate’s offer of employment or disciplinary action up to and including termination.
