Inspire Brands Senior Executive Assistant in Atlanta, Georgia

This position is responsible for managing and facilitating all administrative functions and related activities to support the Chief Communications and Chief Growth Officers of Inspire Brands. Coordinate, schedule and manage meetings, manage travel and logistics, and support information flow to the team. Will also take an active role in understanding team sentiment and organizing ideas, events, and solutions to improve team engagement.

This position sits in our Atlanta Support Center, with the expectation to be onsite 80% of the time.

RESPONSIBILITIES

  • Organize and schedule individual and team meetings.

  • Maintain calendars: schedule appointments/conference calls, meetings, and holidays, and send out reminders for upcoming meetings for preparation purposes.

  • Manage travel logistics: air travel, lodging, ground transportation.

  • On occasion, and when necessary, arrange food for meetings and prep meeting space.

  • Schedule recurring 1:1 with direct reports, team town halls, monthly staff meetings, and skip-level team member discussions, booking meeting rooms accordingly.

  • Support department engagement and overall team dynamics.

  • Organize team events: event coordination, venue selection/procurement, logistics, catering, and scheduling.

  • Assist and manage the onboarding of new team members (e.g., computer and cube/office procurement, credentials, maintaining dept email distribution lists).

  • Maintain seating chart for the department and manage necessary changes (e.g., new additions, change in locations, transitions).

  • Support facilities with office/floor needs, as it relates to supported departments; maintain a welcoming and clean working environment on the floor.

  • Prepare PowerPoint presentations as needed; assist with proofing and formatting (to brand/organizational standards), and presentation clean-up and consistency.

  • Assist with department invoice processing and tracking; prepare and submit team expense reports.

  • Other tasks as assigned by Management.

EDUCATION AND EXPERIENCE QUALIFICATIONS

  • A 2-year degree is required.

  • A 4-year degree is preferred.

  • 4+ years of experience in a senior executive-level support role is required.

REQUIRED KNOWLEDGE, SKILLS, or ABILITIES

  • Excellent typing and computer skills, including high proficiency with Microsoft Office – Outlook, Word, Excel, and PowerPoint.

  • Ability to successfully manage multiple priorities in a fast-paced work environment.

  • Excellent time management and high attention to detail.

  • Very detail-oriented and excellent organizational skills. Strict confidentiality in dealing with sensitive and confidential information.

  • Outstanding interpersonal & communication skills, verbal and written; strong Emotional Intelligence.

  • Ability to interpret and analyze data and make recommendations based on findings.

  • Effective project management skills.

  • Experience with event planning and/or meeting planning.

  • Sound decision-maker.

  • Solid team player.

  • Must conduct himself/herself in a professional, respectful, and appropriate manner at all times with the highest integrity.

  • Independent and collaborative worker.
