The Office of the Governor is looking for a Business Operations Assistant (Program Specialist II) to work in the Public Safety Office - Grant Administration.

What Youll Do
This is a job that performs moderately complex (journey-level) professional and technical program assistance work. Work involves coordinating and disseminating information and coordinating internal support work. Provides consultative services and technical assistance to program staff, governmental agencies, community organizations, and the general public.
- Performs general office duties such as answering phones, routing incoming calls, taking messages, greeting visitors, and mail distribution.
- Plans, coordinates, and performs support duties, including oral and written communication; scheduling; and providing input on developing and revising PSO policies, procedures, and systems.
- Assists with preparation of periodic and special reports and ensures that deadlines are met.
- Assists with research and editing of agency publications such as brochures, forms, manuals, and reports.
- Assists with developing, editing, and reviewing training materials.
- Provides support for special projects.
- Generates routine technical reports and assists with creating special reports.
- Maintains a working knowledge of federal, state, and PSO guidelines and regulations.
- Assists with the maintenance of databases and spreadsheets.
- Prepares and distributes routine notices to grantees.
- Coordinates receipt and processing of requests for technical assistance through the eGrants Help Desk.
- Provides support for routine grant management system function.
- Coordinates meetings, conferences, and seminars.
- Assists in reviewing and evaluating administrative and technical policies and procedures and researches technical issues.
- Assists with records management and retention efforts.
- Coordinates with management team in developing and maintaining an electronic file system, naming conventions and storage.
- Assists with collecting, organizing, analyzing, and preparing materials in response to Public Information Requests.
- Serves as primary point of contact for PSO travel and purchasing processes.
How Youll Qualify
- High school graduate or equivalent; and
- Two (2) years of progressively responsible experience in program management, grants, or in an administrative assistance, support, and coordination role.
Note: Experience and education may be substituted for one another on a year-for-year basis.
Youre a Great Fit with
- Graduation from an accredited four-year college or university with a degree in government, criminal justice programs, business, or a related field.
- Experience working with the states Centralized Accounting Payroll/Personnel system (CAPPS) Financials.
- Experience working with Adobe Illustrator.
- Experience working with the PSOs eGrants on-line grant management system.
