Robert Half Front Desk Coordinator in Austin, Texas

Description We are looking for a Front Desk Coordinator to join our non-profit organization based in Austin, Texas. This role will involve providing administrative support to our team, ensuring a welcoming and well-organized front desk area, and managing various office tasks. This is a short-term contract employment opportunity.

Responsibilities:

• Manage the front desk area, ensuring it is neat, presentable, and equipped

• Answer all incoming phone calls and route them to the appropriate person or department, taking detailed messages as needed

• Greet visitors and provide them with information or direct them to the appropriate person

• Check, sort, and distribute mail and packages on a daily basis

• Monitor office supplies inventory and place orders when necessary

• Maintain office equipment and ensure common areas and the breakroom are well-stocked

• Manage conference room bookings and configurations based on meeting requirements

• Coordinate with janitorial, vending, and tenant companies for repairs, maintenance, security/building access, fire safety, HVAC, elevator, irrigation, pest control, storage/shredding, etc.

• Assist with new employee office setups, including furniture ordering and maintenance, carpet cleaning, door/cube signs, and any other needed materials

• Assist in the planning and execution of company events and initiatives.

Skills:

• Proficiency in Microsoft Excel, Microsoft Outlook, and Microsoft Word

• Strong interpersonal skills

• Experience in administrative assistance, answering multi-line phone system, and concierge services

• Proven customer service skills

• Ability to perform data entry tasks and organize files. Requirements • Proven experience in administrative assistance or related roles within a non-profit organization

• Proficient in using Microsoft Office Suite, including Word, Excel, and Outlook

• Strong skills in data entry with keen attention to detail

• Ability to manage and organize files systematically

• Experience in answering and managing multi-line phone systems

• Excellent customer service skills with a customer-first mindset

• Ability to offer concierge services, providing information and assistance to clients, visitors, and employees

• Strong interpersonal skills for effective communication and collaboration within the organization

• Ability to handle sensitive information with discretion and confidentiality
