The University of Maryland, Baltimore School of Nursingis searching for aSenior Program Specialistto join a dynamic team. This position involves the facilitation and coordination that supports the mission and vision for the school. The ideal candidate will plan, organize, coordinate and manage activities in the Dean’s Office, including change and process improvement and business needs to achieve the goals of the school. Ensures that reviews occur as scheduled and revisions to documents are properly coordinated, documented, and posted when finalized. * Provides staff support for Governance Council, tracking agenda items and related materials, preparing minutes of Council meetings, and ensuring posting of Council materials on the designated site. * Provides support for development and submittal of Maryland Higher Education Commission faculty award packets, including tracking receipt of necessary nominee materials and developing cover letters and letters of support as requested by supervisor. * Assists in the development of correspondence, announcements, emails, and reports of the highest quality. Reviews all materials for accuracy with respect to syntax, grammar, punctuation, and conformance with policies. Gathers and compiles information and data for new and recurring reports, presentations, and proposals as directed. * Provides strategic and administrative assistance for the Maryland Action Coalition (MDAC), including planning and staff support for the Annual Summit, managing web content for the Maryland page on the national campaign website, and serving as a UMSON representative on selected webinars/teleconferences. * Provides primary support for the American Association of Colleges of Nursing (AACN) government affairs activities, including managing all aspects of student Hill visits. Provides support for State legislative activities in coordination with the UMB Office of Government Affairs as directed by Dean and/or supervisor, including advocacy visits by faculty and/or students, legislative review, and submittal of testimony. * Provides support for standing meetings, the work of special and ad hoc project committees and task forces, and other UMSON units and entities as directed. May be detailed on temporary assignment to other areas of UMSON to help meet short-term or emergency needs. * Responds to inquiries and requests for information or assistance utilizing problem-solving skills, and based on knowledge of policies, precedents, and protocols within the scope of overall responsibilities and delegated authority. Seeks guidance with supervisor as needed on routine issues; ensures consultation with supervisor on non-routine items and/or any issues of significance. * Assists in the monitoring and tracking of School of Nursing sponsorships for external conferences and meetings, including processing requests for sponsorship, obtaining necessary approvals, and submitting and tracking of requests for payment. As directed, coordinates necessary promotional materials with Office of Communications and other units as applicable and with key faculty as needed. * Coordinates, supports, and assists with the development of meetings, conferences, and events under the auspices of the Dean’s office and/or in collaboration with other units within the School of Nursing or UMB. Makes necessary logistical arrangements; coordinates details; and prepares agendas, communications, and background materials as needed or directed. Takes minutes/notes of meetings as needed or directed. * Represents the Dean’s Office at internal meetings or committees as assigned and participates in special projects as directed. * Periodically analyzes internal processes, equipment and supplies, and technology and implements changes to improve operations. Monitors need for office and kitchen supplies and ensures adequate stock on hand. * Serves as back-up for the Dean’s calendar upon request of the Dean and/or supervisor, including appropriately handling items of an urgent nature. Provides scheduling support for other senior staff as directed. * Performs such other duties as assigned. Education: Bachelor’s degree. Experience:Three (3) years of administrative or program coordination experience. Preferred Experience:One (1) year of work coordination, training or daily oversight of staff, students, or volunteers preferred. Other:Related experience to program may be substituted for education. Knowledge, Skills, and Abilities: * Demonstrate strong interpersonal skills and ability to interact with individuals at all levels of UMSON and the University. Ability to serve as an effective representative of the Dean’s office. Exhibit cooperative and service-oriented attitude and ability to work under pressure and maintain a professional demeanor. * Ability to establish and maintain effective working relationships both internally and externally, and handle sensitive information with discretion, tact, and appropriate confidentiality. * Ability to present information clearly and appropriately in verbal and written form. Ability to develop effective and accurate written materials of a high caliber with careful attention to syntax, grammar and punctuation, and with minimal need for editing by others. * Ability to research and apply appropriate UMSON and UMB policies, guidelines, and precedent. Ability to use sound judgement, handle multiple tasks, and set priorities to effectively solve problems within the scope of the position. * Skill in effective use of technology/systems and use of standard office software and its applications. Demonstrate skills related to current technological changes and seek opportunities to acquire new knowledge and skills as appropriate. * Ability to organize statistical and budgetary information in chart, graph, and spreadsheet form and perform standard mathematical computations. * Ability to demonstrate, understand, apply, and adhere to the UMB Core Values of Respect and Integrity, Well-Being and Sustainability, Equity and Justice, and Innovation and Discovery.
