The ATLAS Institute at CU Boulder welcomes applications for the Human Resources Coordinator! Reporting to the Finance and Accounting Manager, the HR coordinator's main responsibility is managing the full-cycle of HR operations for the Institute. This position facilitates a supportive work environment with an engaged workforce by providing high quality human resource functions across all employee types including tenured and tenure-track faculty, instructors, lecturers, staff and student employees. This position will also work closely with the Assoc Director of Curriculum and other leadership, to assist our growing graduate programs by providing administrative support for graduate students applying for and being appointed to the ATLAS Master of Science and PhD programs. Finally, this position will aid the Associate Director of Operations and Research in event management, ensuring ATLAS remains an engaging member across campus and in the larger community.

Success in this position hinges on proficiency in ATLAS operations, familiarity with its personnel, and experience with human resources processes, regulations, and systems. The position will require excelling in tasks such as planning, organizing, task prioritization, maintaining compliance with university policies, and effectively communicating with partners using clear and concise language. Simultaneously, they must maintain a high level of attention to detail while managing multiple projects and work assignments. What Your Key Responsibilities Will Be

Human Resources Management:

  • Acts as the ATLAS primary Human Resources Liaison (HRL).

  • Oversees the recruitment and hiring process for faculty, research and staff, by developing position descriptions, posting of jobs, providing classification and salary recommendations, initiating background checks and communicating results.

  • Administers onboarding processes for new employees and incoming faculty

  • Handles resignations or non-renewal of contracts to ensure the completion of exit checklists and leave audits/leave payouts upon separation.

  • Administers monthly, biweekly, and off-cycle payroll and subsequently reviews, confirms, and interprets payroll register data to identify issues or inaccurate payroll allocations.

  • Tracks all appointment end dates and proactively seeks information with regards to reappointments or terminations. This includes generating/routing offer letters, semester rehires and addendums when appropriate, and coordinating with the Human Resources Service Center to ensure HCM employee records are up-to-date.

  • Manages the faculty summer salary process, confirming planned summer salaries align with applicable University rules.

  • Prepares visa packages to submit to International Student and Scholar Services (ISSS) for international visiting scholars, students and incoming faculty.

  • Conducts leave reconciliations and audits as necessary to verify leave accruals.

  • Tracks the annual performance and merit processes for staff and faculty to ensure all processes are followed and all deadlines are met. This includes processing of off-cycle merit increases, promotions, and retention changes for all personnel.

  • Administers staff recognition and award programs.

  • Establishes and maintains an electronic storage system to replace paper records where feasible while adhering to the University record retention policy.

  • Understands University policies regarding all classifications of employees.

  • Collaborates with the Deans Office and various campus departments, as necessary, regarding human resources-related issues such as family medical leave, parental leave, sabbaticals, compensation, employee relations, etc.

Event Management:

  • Actively participates in the planning and execution of ATLAS events including Expo, Graduation, and other event functions by handling all administrative processes such as room reservations, catering, set up and breakdown, and staffing. (These may occur after normal business hours or on weekends.)

  • Recruits, trains, and supervises volunteers and student workers for event-related tasks to ensure tasks are completed efficiently by providing guidance based on professional standards and practices.

  • Stays informed and aligned with University of Colorado policies related to event planning, including parking, safety, catering, facilities/grounds, and University alcohol policy.

  • Purchases and tracks all materials required for events, such as dcor, catering, and rentals by maintaining relationships with vendors, managing contracts and processing invoices with minimal supervision.

  • Maintains regular office hours and has a consistent on-site presence, as well as being adequately available and accessible by phone or email to address issues or questions.

  • Serves as liaison to ATLAS student workers that are supporting the ATLAS administrative office through the coordination of task assignments and providing direction or guidance as required.

Graduate Appointment Hiring Support:

  • Supports the ATLAS graduate program by tracking PhD students funding and preparing/routing graduate Research Assistant (RA), Teaching Assistant (TA), and Graduate Part Time Instructor (GPTI) offer letters.

  • Ensures PhD students are paid on time from the appropriate funding sources and tuition waivers are entered correctly by communicating with the Graduate Program Assistant and faculty advisors on a proactive and consistent basis.

Other:

  • Undertakes other duties and responsibilities as assigned.

  • Stays apprised and current on relevant University and State of Colorado policies and procedures.

  • Participates in professional development activities and serves on unit, college or campus committees as applicable.

This position may be eligible for a hybrid work modality, consistent with the College of Engineering and Applied Science Hybrid Work Policy.

What We Can Offer

The starting salary range is $56,000 - $63,000. Relocation assistance is available within department guidelines.

What We Require

  • Bachelors degree from an accredited college or university, with one year of professional human resources or related experience.

  • Equivalent combination of education and experience may substitute.

  • Ability to interpret complex University policies and procedures, and to take the initiative to evaluate existing processes and procedures, and when necessary, revise or develop new procedures in order to increase operational efficiencies.
