Brockton Hospital Administrative Assistant in Brockton, Massachusetts

Position Summary:

The administrative assistant position will provide administrative support to the Employee Health Department and assist in the coordination of EH department operations and interactions with internal and external customers. The administrative assistant will perform routine administrative tasks to maintain and support the office and assure efficient patient flow through the office.

This is a full-time 40 hour/ week position

Responsibilities:

  • Perform office functions including: scheduling, cancelling, changing appointments, registering patients, receiving and arriving patients. Manages logistics of the department efficiently to ensure customer needs are met.

  • Manage all communication in a respectful, professional manner in person, on the phone, through email, faxes, and all other forms of communication. Communication must be triaged to the appropriate staff. Provide assistance by returning employee communications left on voice mail or email.

  • Ability to plan, problem solve, and prioritize assigned work.

  • Maintains an inventory of supplies and equipment. Orders supplies when necessary. Completes and maintains the paperwork for expenditures (i.e. requisitions, purchase orders, invoices) while maintaining/monitoring the departmental budget.

  • Establishes and maintains hard copy and/or electronic filing systems for departmental data, documents, and other materials. Responsible for outside storage and retrieval system.

  • Obtain and sort laboratory and diagnostic test results in accordance with Practice protocols. Assists with efficient deployment of tasks and utilization of personnel in the department

  • Prepares or assists in creating various health related and administrative reports.

  • Self-reviews work for accuracy and completeness in accordance with establishes standards prior to being presented as complete.

  • Coordinates and posts documents to SigNet departmental webpage and intranet pages.

  • Maintains a high quality patient environment by assisting with cleaning, preparing, and stocking the waiting and office areas in accordance with established standards.

  • Utilizes/participates in LEAN strategies for process improvement methodology and systematic problem solving.

  • Ability to resolve routine problems, referring unusual problems to the Manager for EH department.

  • Performs other duties as assigned.

    Education/Experience/Licenses/Technical/Other:

  • Education: High School diploma or GED.

  • Experience: One to three years of successful work experience as an administrative assistant in a medical oriented/practice setting.

  • Certification/Licensure: N/A

  • Software/Hardware: Proficient in Microsoft Office-Outlook, Word, and Excel. Meditech experience preferred.
