GENERAL PURPOSE:

Provides administrative and technical support to the Vice President of the Distribution Center. This position will also provide a level of support to DC Directors and Managers, as well as visiting Executives. Requires judgment and confidentiality in dealing with all DC matters reaching the Director and VP levels. Operates as the external voice to callers (many senior levels from within or outside of Ross) and visitors when the DCVP is not available. Provides administrative guidance to other administrative functions within the DC.

ESSENTIAL FUNCTIONS:

• Operate as the gatekeeper for all DC VP phone calls and visitors.

• Maintain VP's calendar for appointments/meetings daily.

• Prepare documentation for meetings and presentations as requested by VP.

• Prepare communication, such as memos, emails, reports and other correspondence.

• Coordinate arrangements for all Associate and Management Meetings and Events.

• Create and manage Associate Relations budget.

• Assists and performs special projects and other duties as assigned, including administratively supporting other members of the Management team

QUALIFICATIONS AND SPECIAL SKILLS REQUIRED:

• Excellent verbal and written communication skills

• Ability to rewrite and draft memos for VP/Director submission

• Proficient in Microsoft Excel, Word and PowerPoint

• Working Knowledge of Microsoft Visio preferred

• Ability to prioritize and organize complex tasks from multiple parties

PHYSICAL REQUIREMENTS/ADA:

This position requires the ability to work in an office environment, including using a computer, attending meetings, working as part of a team, and the ability to communicate with team members and others. Regular attendance also is a requirement of the position.

This role requires full-time in-office presence, including attending in-person team interaction, meetings and collaboration, client support, mentoring, coaching, and/or feedback.
