Consider joining Bosch Communications Systems headquartered in Burnsville, MN as an Executive Assistant! In this role, you will have the opportunity to provide executive level administrative and project support to our Global Business Unit Leader.

As an Executive Assistant , you will:

  • Support the Executive Leader with the following:

  • Email and calendar management, filtering emails and may assist in responding on behalf of.

  • Takes a proactive approach to identifying, prioritizing and resolving scheduling conflicts.

  • Manages monthly expense report and reconciliation of credit card statements.

  • Manages domestic and international travel arrangements.

  • Provides support with professional correspondence, PowerPoint presentations and reporting as requested.

  • Interfaces with other Executive Assistants (locally and internationally) to clarify, support, and expedite requests.

  • Regularly communicates globally across time zones.

  • Manage meetings and events for the business to include the following:

  • Coordinates meeting arrangements for all, key, on-site and off-site meetings (conference rooms, catering, hotel arrangements, conference calls, etc).

  • Proactively initiates and organizes meeting agendas. Updates OPL as needed.

  • Participates in select meetings; records meeting minutes and action items and follows up as required.

  • Manages own purchasing card and submits monthly summary for catering and events.

  • Manage and coordinate operational tasks to include the following:

  • Owns and manages both global and local distribution lists for business within Outlook.

  • Editing owner for Bosch Global Network (intranet) pages relating to the business unit.

  • Owner of Teams channels for dissemination of slide decks, other business-related materials.

  • Creates and maintains organizational charts for business (PowerPoint).

  • Supports special projects as requested.

  • Partners with other assistants to ensure efficiency and back up arrangement.

Qualifications

  • An Associate degree in related field or advanced business courses required.

  • A Bachelor’s degree in Business, International Affairs, or Communications is preferred.

  • Minimum of 3-5 years experience in an administrative role in a business environment.

  • 5-10 years of experience in an administrative role supporting executive management in a global organization is strongly preferred.

  • Demonstrated ability to be proactive and self-directed.

  • Must have advanced skills with diverse software packages including MS Office Suite, specifically Microsoft Word, Excel, PowerPoint, Teams and Outlook.

  • Must have an excellent understanding of general office practices.

  • Ability to project manage is required, along with excellent oral and written communication skills.

  • Must maintain a high level of confidentiality with sensitive information.

  • Ability to interact professionally with all levels of the organization.

  • Ability to work in a fast-paced team environment with minimal supervision, and solid analytical skills are essential.
