    Job Description

ADMINISTRATIVE ASSISTANT 2, MIT Health-Student Mental Health and Counseling (SMH&C), to provide executive-level administrative support for the associate medical director and other members of the SMH&C leadership team as needed. Will act as a key contributor to the function and flow of a busy office suite and be responsible for prioritizing, sequencing, and executing administrative tasks in a highly visible role. Administrative tasks include composing correspondence in the voices of the principals; editing reports, surveys, and press releases; drafting department-wide communications; assembling complex data, including tables, charts, and PowerPoint slides, for the principals to present; scheduling the associate medical director's activities, fielding a wide array of phone calls, and organizing high-profile meeting logistics; acting as a support and resource at meetings, including attending and taking minutes; coordinating and arranging travel, events, conference presentations, speaking engagements, and special projects; supporting administrative and departmental projects of the associate chiefs, including meeting and calendar coordination; handling patient flow and appointment scheduling, including front desk activities such as patient check-in, obtaining accurate insurance eligibility information, etc.; and performing administrative tasks such as answering telephone calls, data entry, etc. A detailed position description is available here (https://health.mit.edu/jobs) .

Job Requirements

REQUIRED: high school diploma or its equivalent; three years’ administrative experience; discretion, tact, and sound judgment with confidential information; excellent organizational, problem-solving, customer service, interpersonal, and verbal and written communication skills; meticulous attention to detail and accuracy; proficiency with Microsoft Office; and comfort with everyday office technology and programs. Must be able to take initiative, work autonomously, and make independent decisions; set priorities, manage multiple tasks simultaneously, and bring projects to completion within established timeframes; and collaborate and interact effectively with a wide range of individuals.
