Executive Assistant

We are seeking an Executive Assistant to provide critical operational support to our team, ensuring the success of our day-to-day operations and the delivery of impactful programs and events. The Executive Assistant will have a variety of diverse and meaningful responsibilities, including:

Meeting and Communication Support:

Schedule meetings with staff, supervisors, and external partners, as requested.

Communicate reminders to supervisors electronically, in person, via text, or phone calls, as deemed appropriate.

Effectively manage Microsoft Outlook emails and calendars on behalf of supervisors.

Create and distribute meeting agendas and prepare pertinent materials for attendees.

Take detailed notes during meetings, transcribe discussions, and provide verbal summaries as needed.

Mail and Deliveries:

Manage postal mail for supervisors, ensuring timely distribution and follow-up.

Deliver items to local locations and community partners.

Stakeholder Support:

Welcome funders, partners, and key stakeholders during their visits to the organization, ensuring a positive and professional experience.

Assist in the collection and analysis of data for stakeholder and reporting purposes.

Event and Logistics Coordination:

Provide logistical support for events, meetings, and outings, including venue setup, catering arrangements, decorations, gathering materials, and light cleaning.

Assist with evening and weekend events as needed, including the planning and execution of three large annual events.

Grant Writing and Management:

Assist in grant writing by preparing supporting documents and data.

Support grant management processes to ensure compliance and timely reporting.

General and Programmatic Support:

Participate in internal and external meetings, with opportunities to join organizational committees.

Contribute to the success of the team by taking on additional tasks or projects as assigned by supervisors.

Requirements • Minimum of three years experience in an executive support role within a non-profit organization

• Proficient in using Cisco Webex Meetings for setting up virtual meetings and conference calls

• Experience with Concur for managing and reporting expenses

• Demonstrable expertise in using CRM software for maintaining and organizing contacts and correspondence

• Excellent calendar management skills, with the ability to coordinate complex executive meetings and events

• Strong communication skills, both written and verbal, to effectively interact with executives, staff, and stakeholders

• Experience in handling conference calls, including scheduling, invitation management, and technical troubleshooting

• Proven ability to manage correspondence with tact and discretion, ensuring executives are timely and appropriately informed of relevant communications

• Skilled in creating executive presentations using standard office software such as PowerPoint, Keynote, or Google Slides

• Demonstrable experience in making travel arrangements, including booking flights, hotels, and local transportation, and preparing comprehensive itineraries. TalentMatch®
