Description We are looking for a dedicated Office Assistant to join our team based in New York. In this role, you will be required to perform a variety of general office duties, including acting as the primary point of contact for all employees and visitors, preparing for meetings, and assisting with new hire onboarding. As this is a contract role, you will have the opportunity to contribute significantly to our team and develop your skills in office management.

Responsibilities:

• Act as the primary point of contact to greet all employees and visitors, ensuring a positive and professional first impression

• Prepare for meetings as needed, including conference room setup, arranging for meals, and special equipment or materials

• Onboard new hires in the office with a warm welcome, office tour, and current office information

• Responsible for all general office facility management including the appearance of office, conference rooms, and maintaining office equipment

• Coordinate and set-up of desk and equipment for new hires. Assist with equipment return as needed

• Create and distribute office key fobs to employees

• Accurate weekly update of RTO Master tracker in a timely manner

• Order office snacks while staying within budget

• Distribute office mail as needed and ensure invoices are forwarded to finance (AP) for processing

• Use your skills in Office Functions, Invoice, Materials Handling, Budget Processes, Finance, Onboarding, Agreement, Salary Structures, Snacks, Conference Rooms, Trackers, Eligibility Verification, RTO, QA Management to effectively carry out your duties. Requirements • Proficiency in managing office functions, including handling of materials and maintaining trackers.

• Experience in handling invoice processing, budget processes, and agreement management.

• Understanding of finance, including experience with salary structures.

• Ability to assist with the onboarding of new employees, including eligibility verification.

• Experience with QA management.

• Knowledge of RTO processes.

• Ability to manage office amenities such as snacks and conference rooms.

• Ability to handle and maintain confidentiality in handling sensitive financial information.

• Good communication and interpersonal skills.

• Strong organization and time management skills.

• Ability to work independently and as part of a team.

• Proficiency in using office software, including word processing, spreadsheets, and email.

• High school diploma or equivalent; post-secondary education or training in office administration is an asset.
