Job Description

STATEMENT OF PURPOSE: The Medical Scheduler will be responsible for providing a world class patient experience providing prompt, accurate, and courteous service to callers in a high-performance contact center environment. This position involves assisting callers with requests for appointment scheduling, patient registration, general information, and other customer service tasks pertaining to multiple departments serviced by The Chicago Lighthouse. Medical Schedulers will be responsible for scheduling and registering appointments for callers based on procedures documented in Chicago Lighthouse information systems.

PRINCIPLE DUTIES AND RESPONSIBILITIES MAY INCLUDE:

  • Answer calls promptly, politely, and professionally.;

  • Obtain and enter accurate information into computer System applications;

  • Accurately schedule and register patients for appointments utilizing computer System software;

  • Communicate with clinical staff when appropriate;

  • Effectively communicate appointment date, time, location and provider details to the caller;

  • Answer questions and offer other helpful information, as appropriate;

  • Escalate calls to Leadership and clinical resources, as appropriate;

  • Maintain up-to date knowledge of policies and procedures as they apply to call handling;

  • Engage and re-engage with patients to communicate through outbound calls or other electronic channels as directed by the health system;

  • Adhere to the HIPAA (Privacy Act) as it relates to the confidentiality of information;

  • Complete periodic program update training and successfully implement that knowledge in day to day operations;

  • Perform other duties as assigned by Leadership.

QUALIFICATIONS:

  • High School diploma or equivalent required;

  • Health Care and Customer Call Center experience preferred;

  • Ability to work efficiently and accurately in a call center environment;

  • Skilled at multi-tasking in a fast-paced environment;

  • Ability to exercise good judgment and handle calls appropriately;

  • Proficient with navigation and use of multiple software applications simultaneously in Microsoft Windows;

  • Must be able to type a minimum of 30 words per minute with 95% or greater accuracy;

  • Must have excellent written and verbal communication skills;

  • Excellent interpersonal skills and the ability to work successfully as a member of a team;
