About the Office of Research The Strategic Programs & Initiatives (SPI) unit in the University of Cincinnati Office of Research provides the critical infrastructure that UC faculty and students require to take their ideas to the next level; collaborate freely across colleges and disciplines; fuse fruitful research partnerships with clinical, government, community, and corporate partners; and be more competitive for high value awards and fellowships recognized as particularly prestigious by the Association of American Universities (AAU), the Top American Research Universities (TARU), and the Center for Measuring University Performance (CMUP). Job Overview The Associate To position plays a pivotal role in the high-level management of the workflow and calendar of the Sr. Associate VP for Research: Strategic Programs & Initiatives (Sr. AVPR). In addition to the essential functions listed below, the Associate To will assist with managing the Sr. AVPR's time; coordinate tasks on special projects by tracking progress and ensure deadlines are met; compile information for reports, presentations, and assist with strategic planning; act as a point of contact with internal and external stakeholders; manage sensitive and confidential information with discretion; and represent the Sr. AVPR, the Office of Research, and UC in a professional manner. Essential Functions Perform responsible administrative staff functions for a designated university official, frequently of a confidential nature, concerning administrative activities of substantial complexity (i.e., organize and manage calendar including scheduling meetings and appointments, prioritize and manage competing demands, ensure critical commitments are met). Arrange travel plans, including flights, accommodations, and transportation. Prepare detailed travel itineraries. Recommend the development of operating policies and procedures, advise, and assist administrator in policy and strategy formulation (i.e., organize and maintain electronic and paper files). Prepare responses to inquiries (i.e., monitor and respond to emails, answer and screen phone calls prioritizing messages, and draft responses; prepare and manage correspondence). Identify and review problem areas such as staffing levels, operating procedures, budgetary support, etc. (i.e., prepare and process expense reports, reconcile receipts, and ensure timely reimbursement). Review and evaluate proposals concerning operational activities of designated units. Maintain liaison with designated unit directors and administrators, as well as external offices and agencies to insure conformity to external policies and procedures.
