Warn Industries Maintenance Clerk - Buyer in Clackamas, Oregon

Position Summary:

Through the guidance of Warn’s Critical Equipment Procedure, +/- 40 pieces of equipment were identified as critical, in other words, equipment that supports OEM automotive production. To further support our commitment to our OEM partners and IATF requirements, Warn created a Critical Equipment Spare Parts Program with the objective of minimizing production downtime by identifying and stocking spare parts for critical equipment. This position is a dedicated resource to support the program. The Maintenance team has another dedicated Buyer supporting all purchases that are not related to Critical Equipment. The Maintenance Clerk (Buyer) is responsible for buying and tracking parts for critical equipment to support machine repairs. Duties can be complex and require meticulous documentation to create purchase orders in a timely manner, maintain accurate details in Mainsaver, follow up on orders, audit inventory, produce monthly reports to reconcile inventory balances, and work with the Maintenance Buyer to reconcile receipts and invoices. May perform light facilities maintenance and housekeeping assignments, as it relates to the development of the spare parts program.

Essential Functions:

The essential functions of this position require prioritizing, planning, and completing all assigned tasks in a timely and efficient manner, adjusting for changing priorities and availability of resources, and demonstrating initiative in identifying additional job-related tasks for completion when time permits.

  • Manage maintenance spare parts inventory to minimize downtime. This requires diligent use of the CMMS system to document parts when received and consumed and monitoring to adhere to minimum part the thresholds.

  • Work with others to identify critical equipment (C.E.) spare parts to be included in inventory. This is achieved through multiple methods, including the manufacturer’s manual, discussion with the purchaser (typically engineering) and maintenance, identification of similar equipment in Mainsaver to review history or repairs and part usage.

  • Whenever breakdowns occur on critical equipment, determine if the spare part(s) being purchased should also be included in the C.E. spares inventory, and if so, take necessary steps to complete the purchase.

  • Use JD Edwards (Warn’s ERP software) to create purchase orders to purchase spare parts, track and monitor spending.

  • Produce and distribute monthly reconciliation reports of C.E spare parts to management and finance.

  • Provide back-up to the Maintenance Buyer (during PTO).

  • Manage Mainsaver data using several modules (tables within the database): Purchasing: create P.O), Materials: add parts to the inventory log and assign it to related assets, Asset: process Asset Change Forms, Maintenance: monitor work order requests.

  • Validate inventory by conducting quarterly cycle counts. Develop reporting format and suggest process adjustments if discrepancy exists.

  • Facilitate quarterly review of the C.E. list, with production, maintenance, and engineering leaders and make related updates.

  • Assist Maintenance Manager to create a process to pre-kit parts used during PMs (preventative maintenance). This requires identifying the parts needed for each PM, purchasing, and storing of parts. The objective is to pre-kit (before the PM is scheduled) and then return any unused parts to inventory. Initially, this process will be created for critical equipment (C.E.) and then rolled out to all equipment.

  • Once the process for C.E. spare parts is fully established, identify the materials needed for non-C.E. PM parts / inventory and implement a similar process for all equipment.

  • High degree of computer aptitude, this role requires constant use of Microsoft software as well as others. This role requires you to become the subject matter expert to process, track, issue, and maintain the spare parts inventory within Mainsaver.

  • Participate in team meetings and support continuous improvement activities.

  • Contribute to efficient manufacturing operations through collaboration and coordination with other departments.

  • Responsible for prompt and regular attendance as scheduled, with some overtime potential, though not regularly.

  • Perform other related duties as assigned by the management team.

  • Work safely, promote a culture of safety, and use appropriate PPE. Perform all tasks in such a way as to ensure personal safety and the safety of the people working nearby.

Availability Requirements:

On occasion, overtime may be necessary to complete a task (15-30 mins). Weekend overtime days are generally elective and scheduled in advance.

Required Education and/or Experience:

  • High school diploma or GED.

  • At least a year’s experience in a role with comparable responsibilities (parts store, inventory, buying, planning, database management, finance etc.).

  • Strong aptitude on Microsoft Office products.

  • An understanding of database management would be incredibly helpful.

  • This is a 100% onsite position to receive and process the inventory and engage with the Maintenance Technicians regarding replacement parts for Critical Equipment.

Environment/Atmospheric Conditions:

This position requires working in a shop, office, warehouse, and outdoor environments. Job duties require experience and comfort working in an active shop environment, as well as throughout the factory (including the roof). Employee duties include exposure to loud operating machinery, cold temperatures, chemicals, and/or vapors.
