Business Support Specialist | Contract Administration

Colorado Springs Utilities is looking for an energetic individual to provide contract support for the operations division within the Plant Work Management group. This contract support involves the research and administration of multi-division contract management, milestone/deadline oversight of contract execution, and advanced administrative contract support to multiple contract sponsors; duties and tasks reflect substantial variety and complexity and incumbent may be assigned to specific analytical projects or programs requiring general evaluation and assessment, and/or may carry out functional responsibilities unique to assigned department.

Additionally, in this job you will be responsible for providing business support in data gathering, research, monitoring and tracking records / results, data interpretation, summarizing findings, recommending changes and improvements based on analysis and interpretation of external and/or internal information, and/or developing processes to increase efficiency of operations or reduce cost.

Key Areas of Focus:

  • Assist contract sponsors in navigating procurement activities such as new contract requests for proposals, amending existing contracts, and managing contract expirations

  • Conduct and provide contract administration support with skill in aiding to meet contract execution milestones and meeting contract deadlines

  • Focus and prioritieswill be more in the realm of viewing contracts in an accounts payable/receivable capacity and any contract review, writing & negotiating skill would be valuable

  • Troubleshoot problems by gathering and researching data; assists with data analysis as requested

  • Prepare and present oral and written research findings, input, solutions, and recommendations for impact and cost analyses of proposed changes and improvements

  • Assist contract sponsors in determining contract funding amounts, monitoring contract funding levels, requesting additional funding and releasing retainage

  • Monitor complex contracts for the Operations Division

  • Input, retrieve, or display data, or analysis of information utilizing various software or programs

  • Obtain Approval of business need to initiate new contract to obtain contract(s) for the group

  • Statement of work support

  • Review invoices for services and approve payments

  • Communicate with Administrative/Operation Field Support Specialist on status of construct project as it relates to invoices

  • Review & ApprovesContractor's Pay Application Forms prior to invoice payment

  • Communicate with PCS on contract issues

  • Operations Division point of contact for the RFP planning process

  • Interface with Procurement on project milestones and completion

  • Load New Bid Unit information into Maximo Library

Who You Are: The successful candidate will come with contract administration and support experience, which is required for this role. Additionally, will possess an Associate’s Degree in Business, Finance, Technical Management, or a closely related field or equivalent experience and those with procurement, accounting, and accounts payable operations experience are highly desired. MS Excel and Word skills are required. Maximo and Infor/Lawson and Power BI experience is preferred.
