Type and Schedule: Full-Time Annualized Salary Range: $93,500 - $110,000. Position Description: As an exceptionally organized and proactive Executive & Project Support Assistant you will provide a combination of administrative, business development operations, and project management support to our Chief Executive Officer (CEO), Chief Growth Officer (CGO), and other leaders as assigned. The ideal person will have prior executive support experience with a solid understanding of and experience in business administration, project coordination & management, and business development operations support. Essential Responsibilities: Leverage your skills and experience in helping to support Caliola's business execution and growth initiatives under the direction and guidance of the CEO and CGO. Work under minimal supervision to perform administrative activities including executive assistant, business development and project support functions. Provide planning and coordination support for business development and project type events with ability to travel to and support events when needed. Help solve complex problems and assist in recommending, developing, drafting (via Visio), and implementing new processes and analysis. As such, this role will assist in gathering, verifying, and processing documentation and relies on moderate to extensive experience and judgment to plan and accomplish assigned tasks. Prepare and edit correspondences, reports, and assist in drafting and finalizing PowerPoint slides in support of Company or Customer presentation Provide contract and project administration support. Provide accounts payable (AP) and accounts receivable (AR) administration support. Assist in marketing activities such as coordinating development and printing of brochures in preparation for tradeshows or other events, website content management, and company LinkedIn announcements. Manage and maintain the company's BD (Business Development) Opportunity Pipeline tracker, tradeshows and event calendar, and Capture 2 Proposal (C2P) or similar system. Manage and maintain action item registers as assigned in create, track, and follow-up on action items. Assist in coordinating calendar meetings in Outlook for Executives, and schedule travel both domestically and internationally for the Executive Team as needed, and other Leaders as assigned, including flights, h tels, and car arrangements. Handle company confidential and sensitive information with utmost discretion and maintain the highest level of professionalism as a trusted individual supporting the Leadership Team. May provide executive assistant services as a direct assistant to other Executives or Directors as assigned. Qualifications / Experience Requirements: Minimum bachelor's degree, MBA preferred. Minimum 5 years of experience as an Executive Assistant, preferably supporting high-level executives -AND/OR- experience in business or business develop operations or a PMO (Project Management Office) department. This position may require the ability to obtain and maintain a security clearance, which is issued by the U.S. Government. Security clearances may only be granted to U.S. citizens. In addition, applicants who accept a conditional offer of employment may be subject to government security investigation(s) and must meet eligibility requirements for access to classified information." Must have highly developed administrative, organizational, and project/task coordination and management type skillsets. Must have outstanding organization and time management skills, with attention to detail. Must have demonstrated high proficiency in Microsoft Office applications particularly Outlook, Word, Excel, PowerPoint, OneNote, Visio, and other applications in tracking action items, taking notes, including ability to rapidly learn and leverage new AI type tools that the company will b Must be highly results driven with exceptional follow-through in managing and prioritizing multiple tasks and deadlines effectively.
