The Manager, Box Office and Concert Halls for Frost School of Music will be responsible for the following:

Box Office duties

• Manages box office operations activities.• Trains, schedules and supervises student concert hall staff serving as Box Office workers.• Assists production manager on supervision of stage staff when needed.• Assists in developing, maintaining and reconciling the operating budget and annual calendar for Box Office.• Sets up ticketed concerts on Ovationtix and on the Frost calendar, including creating links for the website and socials, and creating discount group codes/comp codes when directed.• Handles ticket purchases via phone and responds to customer service inquiries.• Ensures that box office equipment is functioning properly and supplies are stocked.• Prints will call for performances.• Monitors and prepares reports regarding ticket sales.• Processes ticket revenue, including handling cash deposits, financial system journal entries, and reconciliation activities on Workday. • Manages Private Merchant Account such as security settings and Chargeback disputes.• Work with Events Director on Forecasting pricing and packages for the Frost Music Live Season.• Negotiate group sales with prospective organizations and schools.• Work with Marketing and Development to make reservations for Donors, Artists, and Media.• Work with Director of Production Services and Production Manager for allocation of seat holds regarding tech.• De-escalate difficult situations with a variety of patrons with courtesy and professionalism.• Work with Events Director and Director of Music Operations to reserve valet parking for selected performances• Implement fail-safe protocols during unexpected system outages.

Concert Hall duties

• Maintains the concert hall schedule of activities, including bookings for performances, rehearsals, masterclasses, lectures, courses, other events, and maintenance.• Prepares reports related to the concert hall schedule.• Serves as the first point of contact, via phone or email, for inquiries regarding our concert halls.• Ensures students are adhering to deadlines when scheduling their recitals.• Ensures fees related to student recitals have been received according to current recital procedures.• Post student recitals on the Frost Calendar upon final approval.• Prepares and enters financial postings in our finance system, preparing financial deposits, and running reports on a recurring and ad-hoc basis.• Provides administrative support to areas falling within the Frost Office of Administration• Schedules additional cleaning services for the concert halls as needed. Examples include performance days and special event requests.• Reports any issues or repair requets to facilities in the venues.• Provides information to, and coordinates with, the university parking and transportation department with respect to events held at any Frost operated facility.• Update seating charts on website for venues whenever needed.• Oversees and trains student workers responsible for duplicating concert/recital programs and ensures that the programs are available at concert hall events, or for pick-up by student recitalists for their recitals in other facilities.• Manages purchasing activities with respect to equipment and supplies for the concert halls. • Assists with other school-related tasks as requested by the Associate Dean of Administration and Director of Music Operations.

Minimum Qualifications:

  • Bachelor’s degree, preferably in a performing art field (music or theater)

  • Minimum of 3 years of experience working in a box office and/or venue management office in music, theater, art or educational organization. Any relevant education, certifications and/or work experience may be considered.

  • Experience with Ovationtix preferred.

  • Background in music

  • Experience working with scheduling software systems, such as EventPro, EMS, or EventBooking.

Skills needed• Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.• Able to work and lead a team in a fast-paced environment.• Outstanding organizational skills and attention to detail.• Ability to work both independently and as a member of a team.• Expertise in Microsoft Word, Excel, and Outlook.• Familiarity with other Microsoft Office tools, like FindTime, Bookings and Forms.• Ability to learn to use new business software quickly and accurately.• Ability to supervise and train staff, including organizing, prioritizing and scheduling work assignments.• Ability to maintain accurate paper and electronic records.• Flexible schedule to accommodate some evening and weekend work.
