Compass Datacenters Corporate Event Coordinator in Dallas, Texas

Compass is seeking a Corporate Event Coordinator to join our Administration team in Dallas, TX.

We are looking for a candidate who can expertly plan, coordinate, and execute a wide range of events, including corporate, community, and office activities. The Corporate Event Coordinator will be responsible for managing logistics, coordinating catering, procuring materials, and ensuring seamless event execution. This exciting role will boost employee engagement, foster community connections, and offers a unique chance to be at the heart of our event planning and execution. You'll play a key part in creating a vibrant corporate culture and making a positive impact in our community.

Responsibilities:

  • Manage and coordinate all aspects of corporate events.

  • Plan and manage event setups, including tents, chairs, signage, and other necessary equipment.

  • Ensure all logistical aspects and support for all events (Dallas office events, community events, datacenter campus events, marketing events, etc.) and be ultimately accountable for the vendor management of events (ensuring Actions & Words are One).

  • Manage on-site logistics during the event, including registration, attendee assistance, and troubleshooting any issues that arise.

  • Arrange catering services for various events, ensuring dietary needs and preferences are met.

  • Manage relationships with catering vendors and oversee meal delivery and setup.

  • Source and manage photo props such as shovels, scissors, hard hats for groundbreaking ceremonies, ribbon cuttings, and other events.

  • Oversee the setup and teardown of the events.

  • Organize company participation in community events and activities, such as fun runs, holiday events, and service projects.

  • Plan, design, and execute monthly office birthday celebrations, employee appreciation events, corporate special events and the annual holiday party.

  • Organize the monthly Foodie Lunch with the CEO, managing all related logistics and details.

  • Lead and coordinate the efforts of those assisting with events, including assigning tasks and responsibilities.

  • Develop detailed event plans, timelines, and budgets.

  • Manage the event budget, tracking all expenses and ensuring the event stays within financial constraints.

  • Negotiate contracts with vendors to obtain the best possible rates and services.

  • Oversee raffles for events (procuring items for raffle through coordination with others)

  • Implement lessons learned to improve future events.

What You Need to Succeed

  • Minimum of 3-5 years of experience in event planning and coordination, preferably in a corporate setting.

  • Experience collaborating with board members, elected officials, city managers, organizational leaders, and their staff in relation to community and groundbreaking events.

  • Proven track record of successfully managing and executing various types of events from mid to large scale.

  • Strong budgeting and cost management skills

  • Exceptional organizational and multitasking skills.

  • Strong communication and interpersonal skills.

  • Ability to work under pressure and handle last-minute changes.

  • Familiarity with local vendors and event venues.

  • Passion for community engagement and corporate social responsibility.

  • Interest in staying current with industry trends and best practices in event planning.

Nice To Have:

  • Bachelor's degree in Event Management, Marketing, Hospitality, or a related field.

  • Certified Meeting Planner (CMP) or similar certification.

  • Experience with graphic design software (e.g., Adobe Creative Suite) for creating event materials.

  • Proficiency in event management software and Microsoft Office Suite
