DEERFIELD - Administrative Assistant to the Dean of Faculty Office Description Reporting to the Dean of Faculty, the Administrative Assistant to the Dean of Faculty oversees the day-to-day operation of the Office of the Dean of Faculty, provides support to the Dean, Associate and Assistant Deans and serves as the primary point of contact for all internal and external matters. Primary Duties and Responsibilities Faculty Recruitment and Onboarding Assist the Associate and Assistant Deans with all aspects of the faculty recruitment, hiring, and onboarding processes Prepare and advertise all open faculty positions as requested Coordinate with Associate Dean of Faculty to engage faculty placement firms for both contingent and retained searches Collect, organize, distribute and track all candidate application materials Coordinate campus visits for candidates, including schedules; travel, lodging, and meal arrangements; interviewer feedback surveys; and candidate travel reimbursements Coordinate logistics for new faculty orientation and first-year faculty onboarding sessions. Faculty Evaluation and Professional Development Assist the Associate and Assistant Deans with all aspects of the faculty evaluation and professional development processes Manage evaluation processes including, online feedback collection, and collation of final evaluation report data Ensure the request and approval processes of professional development opportunities are followed, final reports are submitted, and proper reimbursements are made Liaise with Human Resources Collaborate with Human Resources to prepare offer letters and contract requests for new faculty Serve as initial point of contact for Faculty leave requests (Sabbatical, PFML, FMLA, SYA, LOA), collaborate with the Human Resource Office to determine eligibility, communicate timeframes, and develop relevant faculty communications Assist with the annual Employee Handbook review and update process, including information relative to the Faculty Policies and Procedures Process H1-B and other Visa requirements for incoming and current faculty members Dean of Faculty Office Administration Serve as first point of contact for internal and external inquiries to answer questions, problem solve as appropriate, and gain clarity on policies, procedures, deadlines, and other information. Compose and prepare written documentation and correspondence for the office; screen and evaluate incoming and outgoing correspondence and prepare responses as appropriate. Gather, enter, and/or update data to maintain departmental records and databases, as appropriate; establish and maintain files and records for the office. Manage office correspondence, calendars, phone calls; monitor financial budgets, credit card use, and expenses Maintain and coordinate the Hitchcock House calendar Coordinate Emeriti Faculty events Other duties as requested Job Specifications Associate\'s degree required; bachelor\'s degree preferred 5 - 7 years of demonstrated administrative experience Proficiency with MS Office Suite, Google Suite, and databases Willingness to learn new software programs Excellent oral and written communication skills Excellent organizational skills Excellent interpersonal skills Ability to multitask effectively and maintain focus in a complex, fluid environment Exceptional attention to detail A high level of integrity and a strong work ethic Work independently, professionally, and effectively with discretion Demonstrated commitment to diversity and inclusion and to serving the needs of a diverse community; Ability to manage, and sensitivity to, highly confidential information
