Stetson University Assistant Director of Programming, Alumni Engagement AS6476 in DeLand, Florida

Reporting to the Director of Alumni Engagement, the Assistant Director assists with programming that stems from the Office of Alumni Engagement. The Assistant Director will plan, execute, and sometimes attend events for alumni, students, and parents both on the DeLand campus and regionally across the country.

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES: Employment duties will include, but not be limited to:

  • Plan and manage events for alumni and campus partners that provide value, build a sense of alumni pride, and foster relationships/community

  • Develop meaningful, creative programming that engages alumni with the university and each other

  • Provide leadership, event/activity support, and direction to volunteer leaders and program participants

  • Manage event registration software for all events, including in-person registration at Homecoming and other large flagship events for Stetson University

  • In partnership with the Director of Alumni Engagement and members of the Alumni Board, plan and execute events in targeted areas where Board members or volunteers reside

  • Plan both home and away tailgates for alumni and parents for our Athletic teams as needed

  • Partner with Admissions on Accepted Student Receptions, Open Houses, and Hatter Saturday; these events are crucial for enrollment and can show our prospective students their alumni network

  • Work with colleagues in Campus Life and Student Success to plan alumni events during Family and Friends Weekend, FOCUS, and Commencement where we can highlight our Legacy students and families

  • Work with the Director and Administrative Secretary to pull invite lists for events and create RSVP forms

  • Work with Associate Director to create email, print, web, and social media marketing for events

  • Work with alumni team and/or campus partners to coordinate event set up, programming, and wrap up of events, including catering and AV setup needs

  • Convene post-event assessments and develop reports on each event, documenting opportunities/challenges, and making recommendations for future improvements

  • Keep current with best practices

  • Attend events, board meetings, and other functions as needed

  • Performs other site and position specific duties as assigned

  • Proven ability to build relationships and work as a team with a wide variety of university constituencies

  • Ability to meet deadlines, to work independently and under pressure, and handle several projects simultaneously

  • Strong interpersonal skills, written and oral communication skills, and organizational skills

  • A high energy and self-motivated individual

  • Strong commitment to diversity, equity and inclusion, and the expression of these values in building community

  • Proficiency with Microsoft Office suite

Required Experience

  • A bachelor’s degree or two years of experience working in a related field

    Ideal Candidate Qualifications:

  • Experience developing programs

  • Experience working with volunteers

  • Experience with event planning

    Work Environment: The work environment is lively and energetic. Daily operations are in the office, but events can be either indoor or outdoor.

    Salary Grade: 5
