We provide services to individuals with developmental/intellectual disabilities living in Colorado. Admissions are for individuals with complex behavior and medical needs who may pose a risk to themselves or the community. We provide emergency treatment stabilization for people and provide support to the community service delivery system.

Overall function of the work unit:

This work unit exists to provide quality health care, personal hygiene maintenance and an active learning atmosphere in a safe and healthy environment for developmentally disabled and mentally ill individuals. This work unit provides 24-hour treatment services that are in compliance with State and Federal regulations.

Description of Job

Purpose of the work unit:

This work unit exists to provide 24-hour treatment and residential services to persons with Intellectual disabilities residing in the Wheat Ridge Regional Center facilities in compliance with state and federal regulations.

Primary duties include:

Support for Program Services

While ensuring to remain within the approved budget allotted, this position is responsible for monitoring, reviewing, approving, and ordering all office supplies and warehouse order requests for the residential and day program units within Wheat Ridge Regional Center.

  • Receives and handles all requests for office supplies and reviews all requests (Decides appropriateness of orders, based on needs and Budget)

  • Orders supplies, verifies accuracy of shipments (Decides if what is shipped is what was ordered)

  • Distributes and maintains office supplies for offices (Decides how to allocate supplies based on need and current supply)

  • Reallocates purchases on Chase online system for accounting purposes (Has to decide which allocation codes to use)

Electronic File Management

While using established guidelines per Wheat Ridge Regional Center, CDHS Human Resources and HIPAA this position independently manages the incoming and outgoing flow of supervisor and employee files for approximately 285 direct care staff.

  • Files items in supervisor / employee files, such as Disciplinary letters, Correctives, PMAPs, PDs, etc. and helps Supervisors access select documents.

  • Creates and maintains a system of tracking in-service sheets electronically.

  • Determines what goes into the WRRC supervisor / employee file and what is sent to HR for the supervisor / employees official personnel file

Administrative Support

Performs administrative support for the residential and day program units with the administrative needs for this unit. Responsible for collecting the mail, distributing and then preparing outgoing mail as well as delivering mail to the US Post Office when needed.

  • Reviews residential documents prior to filing/routing, and checks for accuracy and compliance. Returns if needed. Decides on accuracy and compliance.

  • Sends and tracks informed consents to guardians for signatures via certified mail. Decides on completeness of consent forms.

  • Develops and maintains On-call schedules, schedules Annual Planning meetings for residents. Decides on appropriate dates and times of scheduling.

  • Composing, formatting, producing, proofing and copying various Microsoft Office documents. Decides on accuracy/appropriateness of documents.

  • Search, gather, and verify accurate information for reports. Decides on which information is needed and whether or not the reports are accurate.

Group Home Support

While ensuring to follow Wheat Ridge Regional Center policies, provides group home support for managing the Individualized Plan (IPs) packets. Receives, collects and sends Individualized Plan (IPs) packets to 15 group homes. Tracks return of IP packets from homes and follows up for packets, which are not returned in a timely manner. Contacts the house and follows up until packets are submitted.

  • Determines which documentation is required and whether or not the documentation is complete.

  • Decides on when to escalate the late completion of documents to the supervisor.

Other duties as assigned

Employee will have to know the basic functions of Direct Support Staff.

Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights

Minimum Qualifications:

  • Four (4) years of general clerical or administrative service experience.

    Substitutions:

  • College, university or non-correspondence business school coursework may substitute on a year-for-year basis.

    Preferred Qualifications:

  • Ability to multi-task various priorities

  • Advanced proficiency in Microsoft Office (i.e. Word, Excel, Access and PowerPoint) and Google Suite

  • Ability to interpret complex rules, regulations, policies, procedures and guidelines

    Conditions of Employment:

  • Pre-employment Physical/Tests – Must demonstrate the ability to lift 50 lbs, bend, squat etc. and perform physical interventions proficiently (pre-employment and continuously throughout employment)

  • TB test required upon hire and yearly

  • US Driver’s License

  • Travel – Position requires travel between remote worksites. Must utilize state fleet vehicle, if available. If not, must utilize personal vehicle and request mileage reimbursement

  • Influenza and other vaccines as required by the State of CO.

  • Former State employees who were disciplinarily terminated or resigned in lieu of termination must (1) disclose that information on the application (2) provide an explanation why the prior termination or resignation should not disqualify the applicant from the current position, (3) provide the employee number from the applicant’s prior State employment.
