Job Description Summary

Manages the Supply Chain Purchasing Team responsible for the daily work related to all procure-to-pay transactions. Plans, organizes and ensures the ongoing efficient operations of the Supply Chain Purchasing Team. Develops, implements, and maintains policies and procedures to reduce costs, streamline procedures, and implement solutions. Works directly with Southeast Health's leadership and serves as a liaison between departments communicating with clinicians and department team members regarding supply chain related issues.

Job Description

Qualifications:

  • Bachelor’s degree required (Business, Accounting, Finance or related field).

  • Five years previous supply chain management experience required.

  • Three years previous supervisory experience required.

Leadership:

  • Manages assigned department staff to include staffing, recruitment, performance management, educational/personal staff development, training and orientation to insure operational needs, departmental communications and compliance with regulatory agencies. Develops and maintains buyer productivity with emphasis on employee engagement.

  • Collaborates with department leadership team in establishing and accomplishing department goals and objectives for the provision of services. Assists in the formulation and monitoring of department policies and procedures and recommends changes to systems, staffing and procedures as needed to improve the operations of the department.

  • Utilizes leadership competencies to collaborate with clinicians and physicians to influence product purchasing and procurement to deliver the best value to patients and the organization.

  • Assists Supply Chain Management Director in incorporating savings impact into budget.

  • Manages the data collection, analysis, interpretation, integration and reporting processes via Supply Chain reporting tools with emphasis on measuring the value of the department’s services and improving department productivity.

  • Oversight of all Product Recall activities within the department and coordinates with all Organization-wide Product Recall systems process in collaboration with Service Line Directors as appropriate.

  • Assures organization-wide compliance of Southeast Health and Supply Chain Management policies and procedures related to purchasing activities, timeliness of order and competitive proposals.

  • Oversight of sourcing and purchases of capital equipment and furniture, including provision of analysis and cost/benefit information and appropriate alternatives with recommendations for purchase.

Manages the Purchasing Team which is responsible for:

  • Dispatching orders in the most efficient channel.

  • Ensures that purchasing staff update and follow current purchase requisition authorizations and vendor information

  • Assures that purchasing staff follows up and documents the expediting process on back orders.

Assures the timely resolution of match-exception problems with purchase orders and invoices and documents staff activities for this function.

  • Maintains up-to-date knowledge of prices, new products, and sources.

  • Works with logistics staff to ensure that vendors are able to meet our delivery/distribution requirements.

Financial

  • Assists in the preparation of the annual budget including researching product, pricing information, and cost analysis for assigned cost centers and assures adherence on a monthly basis. Coordinates month‑end and annual reports to assist Financial Services on requisitioned items from the stockroom to all departments and for spend on any credit card programs.

  • Coordinates all related metrics/statistics for assigned areas and projects and prepares requested reports at the direction of the Director of Supply Chain Management.

Skills:

  • Progressive experience demonstrating ability to accomplish objectives through a multi-disciplinary team.

  • Experience managing multiple projects simultaneously and demonstrated personal time management/project prioritization skills.

  • Demonstrated passion for building a clinically integrated supply chain.

  • Ability to manage deadlines and support change management including strong conflict resolution skills.

  • Ability to convert data into information, by performing advanced analysis, including savings validation analysis (post product conversion), forecasting, risk assessment, process analysis and total cost of ownership.

  • Ability to develop and implement commodity and services sourcing strategies that yield measurable spend reduction.

  • Experience in automated supply chain management applications programs.

  • Goal oriented, with emphasis on creating efficiencies, reducing costs, and improving quality of patient care delivery.

  • Ability to work independently in responsible and effective manner with minimal direct supervision.

  • Hands-on proficient experience in Microsoft applications.
