Theindividualinthisroleactsasthefirstpointofengagementwithteammembersand visitors alike, creating a warm, supportive and service-oriented atmosphere that enhances theExperience.
They are responsible for providingemployee/tenant-facing workplace services and front-of-housereceptionincludingbutnotlimitedto:greetingvisitorsinawarmandwelcoming manner,answeringanddirectingcalls,assistingwithtransportation,advisingonlocal attractionsandotherservice-basedoradministrativetasksasassigned.
EssentialDutiesandResponsibilities
· Welcomestenants/employeesandannouncesclients,applicants,andvisitors.
· Responsibleforrespondingpromptlywithaccurateandthoroughinformationaccordingtothespecificrequestsfrom tenants, employees and visitors.
· Conductsavarietyoffront-of-houseactivitiesincluding:
o Guestregistrationthroughbadgingsoftware
o Guestaccommodationwithluggage/coats,etc
o Providesvisitorswithinformationtonavigatethebuildingincludingpointingoutnearestamenitiesandfire exits.
o Issuesvisitorpassesandvalidatesparking
o Answerstelephoneinfriendly,professionalmanner
o Maintainsaccuraterecordsofservicerequestsandstatus
o Arrangesguidesasneeded
o Receivesanddirectsincomingcallstoappropriatepersonnel/tenantsandvoicemail.
· Providesassistanceservicesto tenants/employeesandguestsincludingbut notlimitedto:
o Arranges andconfirmsrecreational,dining,and/orbusinessactivities
o Makestransportation&travelarrangements
o Officewayfinding
o Meal&activityreservations
o Guest&administrativesupport
o Shipping
o Coordinatecardetailing&on-sitecarrefueling
o Laundry&drycleaningservices
o Gift&packageorders
o Otherservicesasneeded.
· Continuallymaintainsneatappearanceofreception/lobbyarea,conferenceroomscaféandothercommonareas.
· Mayperformvisitorvolumetracking&reporting,receptionservices,visitorrefreshments,storytelling&campus tours.
· Serves as point-of-contact and/or extension of the facilities team as representative of the Experience team. Requests building and housekeeping services as needed.
· Periodicallyinspectscommonareaequipmenttoensuregoodoperatingcondition.
· Arrangesequipmentserviceasneeded.Determinestandardsuppliesandinformationtobemaintainedatthefront desk. May assist with temporary signage.
· Performsgeneraladministrativedutiesassociatedwithdistributingpackagesandmailasrequired.
· Uses tracking systems to record inbound and outbound courier, freight and mail. Meters mail. Arrangesmessenger service as needed. Follows location security procedures for screening inbound deliveries.
· Supportswithmeetingandeventstasksasassigned.
· Mayassistwithscheduling,stockingandcoordinatingsetupconference/meetingsrooms,arrangingfor meeting equipment (i.e. projectors, video/web conferencing), ensuring equipment is in good operatingconditionforevents,coordinatingcatering,securingapprovalsforcateringexpensesandreviewsinvoicestoarrange billing to appropriate department or business unit.
· Followssecurityandemergencyproceduresasdefinedfortheproperty.
· Responds toemergencysituations inacalm,efficientmanner.
· Summonsappropriateassistanceandmakesappropriatenotificationsinaccordancewithoperating procedures.
· May order and stock office supplies and other common use items for the location or common areas, such as café supplies, equipment toner, printer paper, freight and shipping supplies etc.
· Maintainsafileofservicesincludingtransportationsources,accommodations,andreferralcontacts.
· Mayarrangeconvenience/hospitalityservicesforguestssuchastransportation,tickets,reservations,etc.
· Mayprovidereportingandinsighttoclientsandpropertyteamstoimproveproductandservicedelivery.
· MaycontributesitespecificcontentforHostDigital.
· Performsotherdutiesasassigned.
Supervisory Responsibilities
