Robert Half Executive Assistant in El Segundo, California

Description We are offering a unique opportunity for an Executive Assistant within the Professional Services industry, located in El Segundo, California. In this role, you will support the executive team by managing calendars, assisting in the production of client deliverables, and serving as a liaison for both internal and external clients. This role offers a short term contract employment opportunity.

Responsibilities:

• Manage calendars and travel logistics for assigned executives

• Assist in the production and delivery of client-specific materials

• Draft, edit, and proofread business correspondence and presentations

• Serve as a liaison between internal and external clients, facilitating communication and follow-up as necessary

• Manage time and expense entry for assigned executives

• Assist with engagement management activities such as billing and client acceptance procedures

• Support marketing and practice development activities, which may include event planning, marketing material production, and Client Relationship Management (CRM) data maintenance

• Collaborate with internal teams to manage workflow effectively

• Undertake other duties and special projects as assigned by the management

Skills:

• Proficiency with Microsoft Office Suite, including Excel and Outlook

• Experience with Concur and CRM systems

• Familiarity with About Time software

• Strong Calendar Management abilities

• Excellent written and verbal communication skills

• Ability to handle C-Suite level correspondence and documentation. Requirements • Minimum of 2 years of experience working as an Executive Assistant in the Professional Services industry

• Expertise in using Concur, CRM, Microsoft Excel, Microsoft Office Suites, and Microsoft Outlook

• Proficiency with About Time software for efficient time tracking and management

• Demonstrated ability in Calendar Management, planning and scheduling meetings, conferences, and appointments

• Strong written communication skills for Correspondence, including drafting emails, reports, and other types of business documents

• Experience in supporting C-Suite executives, managing their schedules, and coordinating logistics

• Excellent skills in Documentation, creating, maintaining, and updating both digital and physical records

• Must possess a high level of professionalism, integrity, and discretion in handling confidential information

• Ability to multitask, prioritize, and manage time effectively

• Strong problem-solving skills and the ability to make decisions under pressure

• Excellent interpersonal skills for interacting with clients and team members at all levels within the organization.
