A multi-functional role assisting in many aspects such as talent acquisitions, employee relations, compensation, and benefits etc…The ER Assistant will provide a solid administrative foundation for the ER function, ensuring all company policies and procedures are adhered to and tasks are completed in detail and accurately. Providing cover on Reception during lunch breaks and when required.
KEY RESPONSIBILITIES:
Employee Relations:
Providing first line support to employees on ER matters - Responding to any queries or problems
Ensuing all files are maintained in a timely and accurate manner and always ready for an audit by UK ER Manger or any regulatory bodies
Benefit support and administration
Supporting the UK ER manager with various capability investigations, including grievance and disciplinary
Write and issue letters to employees for any changes
Checking and updating managers on reference progress and confirming start dates when file is complete
Ensure all pre-employment checks are completed for new starters including right to work
Updating the HR database, assisting employees with password resets for holidays, timesheets checking for export to payroll
Provide references for those requested to the relevant company
Coordinate the Service Awards program
Ad hoc duties
Reception
Provide cover for Reception during lunch hours and during absences
Answering the switchboard and greeting customers
Monitoring of the security cameras and barrier
Ordering customer and training buffets as required
Liaising with contractors and couriers
Ensure all Reception duties are completed as required
Talent Acquisition
Liaising with ER representatives and complying a list of all vacancies within the UK.
Sourcing candidates via various means such as linkedin, job boards and smart recruiters
Increasing our social media presence to attract the best talent
Increasing awareness of the Apprenticeship scheme and utilisation of the Apprenticeship Levy
Coordinating the Onboarding process for all UK Branches
Ensuring PDC Functions for new hires are completed timely
General

KNOWLEDGE, SKILLS AND BEHAVIOURS:
Knowledge:
Experience of working within a HR role and understanding the fundamentals is essential
Experience of talent acquisition and sourcing candidates from various platforms
Ideally CIPD level 3 and above qualified although not essential
Skills:
Strong MS Office skills
Excellent oral and written communication skills
A proven history of providing exceptional customer service at all levels
Excellent organisational and time management skills

TRAINING AND QUALIFICATIONS:
Training Requirements:
- Meet company standards of 52 hours training per year, including as needed management/leadership training
Education and Experience:
- CIPD level 3 and above although not essential
