Job Summary

The Flint Financial Services & Budget Office is seeking an experienced professional to join our team as an Administrative Assistant Intermediate. This individual will report to the Assistant Division Controller. In this role, you will serve as a key liaison for various financial and administrative functions, ensuring smooth operations and compliance within our organization.

The primary responsibilities includes administrative support within the Financial Services & Budget group, financial oversight through managing control and monitoring reports, customer support through knowledge of the university's financial policy and procedures, and financial approvals for procurement processing.

Responsibilities*

Financial Services & Budget Office Management

  • Cross-Train and Fill-In for various positions in the FSB Office which include the AP Clerk, Cashier, and NBC Executive Suite Admin Assistant Positions during temporary periods of high-volume activity or short-staffed schedules.

  • Update FSB / Cashier / NBC Intranet Websites.

  • Manage FSB Offices for equipment/phone/copier needs, space/room issues, ordering, lead coordinator of office retreat/holiday events, etc.

  • Act as the FSB MHealthly Wellness Champion (for 2 years) and will manage the rotation & future assignments of others for the office.

  • Act as the FSB Office 2nd Emergency Contact.

  • Help train and manage workload of Accounting Intern.

  • Aid in training, communicating, work oversight, and delegating any AP or any financial functions.

Accounts Payable - NonPO, AR, Travel Expense, & Property

  • Maintain Flint Campus Procurement Contracts & Renewals.

  • Help manage the Flint Campus Property Disposition & Capital Equipment Tagging Process and Biennial Inventory with Property Control.

  • Act as the AP / Travel / Procurement Knowledge Lead.

  • Act as the Stored Value Card (SVC) Lead, managing the request, load, and distribution of the SVC program for student travel meals program with A2 and Dash Solutions.

  • Part of the Flint Voucher Approver Workflow process which reviews all Flint & Library NonPOs and POs over $10K in order for checks to be issued.

  • Help resolve MPathways Budget Errors from SSC for Procurement activity which include SUB, Concur/Pcard, PO, and NonPO Vouchers.

  • Help resolve MPathways PO Requisition Budget Errors which include errors in Shortcodes, Accounts, Chartfields, Trees, Fund Translations Rules and/or Sponsored Budget Lines not posted.

Central Office/Internal Controls

  • Acting as the 2nd Flint Financial Unit Liaison and attend Financial UL Meetings, Review/Approval Flint Employee OARS requests, and help process Flint Employee Termination/Transfers.

  • Manage Monthly Control Reports (Internal Control, Concur, GFMS Rpts) to ensure they are being worked by either Accountants, AP Clerk, Accounting Intern or self.

  • Serve as the Accounting & Reporting Group Assistant Lead - Help organize, facilitate and lead group communication through in person, virtual, email, etc.

Special Projects/Miscellaneous

  • Housing Accommodation & Michigan State Use Tax Monthly Tax Report.

  • Other Assigned tasks by the VCBF and/or Controller.

Required Qualifications*

  • High school education or equivalent.

  • Two or more years of broad and progressive administrative experience in Financial Services and/or Accounts Payable.

  • Proficiency with Microsoft Office Suite products (Word, Excel, and PowerPoint) and with Google Suite (Gmail, Chat, Drive, Calendar, Docs, Sheets, Forms, etc.).

A hybrid work schedule (some days on campus and some days working remotely) is available for this position at this time. However, this is subject to change based upon the duties of the position, for example during short staffed or high-volume periods, and/or the needs of the department.
