Description of Work Unit

Position Summary

The position reports to the CSU Facilities Management University Planner and manages all aspects of the University Space/facility inventory database (AiM/Assetworks as well as Access and Excel databases) in the Integrated Work Management System ( IWMS -AiM/Assetworks). Responsibilities include space management, collaborating at project inception, reviewing designs, and setting up the AiM database for space management, auditing, upkeep, reporting, space planning, and analytical needs. The position is responsible for managing the university space database and space planning as needed that is the backbone for informed decision-making by FM and University Leadership. The Space Database Manager supports the mission of CSU , FM, and the Campus Planning section by providing space analytics as needed for the development of the University Master Plan.

The position is responsible for the database management for CSU (owned) physical plant inventory/portfolio. This database management entails the development of methods, processes, and protocols to enable the following:

  • Space Utilization metrics, analysis, and reporting to enable decision-making with respect to space Utilization and to inform Master Planning.

  • Upkeep and verification of data accuracy

  • Quality control and checks and balances on a cyclical basis to ensure the reliability of the available data

  • Space auditing, lease tracking (as needed) and reporting and analytics as needed.

  • Experience with SQL queries.

  • Archiving and information management

The position must be able to work independently, serve as a resource to FM and CSU partners, and have the ability for critical thinking without specific task guidance.

Required Job Qualifications

  • Bachelor’s degree.

  • Two years of experience in a field similar or related to the work assigned to the position such as database manager.

Preferred Job Qualifications

  • Space Management Experience.

  • Computer Aided Facilities Management ( CAFM ) database experience.

  • Experience with Asset Works / AiM database.

  • Computer aided design and drafting experience ( CADD ).

  • Higher education experience.

  • Training or qualifications within the Architect/Engineering field.

Essential Duties

Job Duty CategoryDatabase and Floorplan Management

Duty/Responsibility

Oversight and continued development of the University Space / facility inventory database.

  • Manage the university space/facility inventory data and associated processes, which is used to inform operational and strategic decisions

  • Conduct space audits, collect and curate data from various source: inputting, updating, maintaining, and quality control of all facility property data. Identify and interpret appropriate information and data to track in AiM.

  • Provide oversight of the integrity and security of building data across multiple platforms and within the IWMS (AiM, Ramworks, FM website, KFS , etc.). Review the data that exports/imports to/from AiM into other databases, such as ODS , KFS , Ramworks, FM Website, to ensure accuracy within the other university systems.

  • Review floorplans for accuracy, standards criteria, and errors for adherence to CSU standards at project inception and for integration into the space database. Review the polylines, layers, labels, and legends are accurate and formatted in the CAD files to prepare for export process. Create floorplans for department space utilization, occupancy, and analysis to be used by FM, campus partners, Space Committee, and other University Leadership.

  • Assist with troubleshooting when space data or floorplan issues are discovered. Any and all campus partners that report issues with data or floorplans (Student, Faculty, HDS , BFS , departments, etc. as well as FM employees, including IT). Research the issue within the database or floorplan files and, if not related to software or hardware, ensure the problem is resolved.

  • Collaborate with Safety, Risk, and other campus departments on identifying and maintaining appropriate floorplan accessibility.

  • Assist with annual fiscal year archive of space/inventory databases as well as the official records for building names, numbers, and addresses. Campus Architect ( OSA Reports), FM Operations (Benchmarking), Insurance, BFS (F&A Survey). Writing queries, building reports, and providing deliverables.

  • Accountable for the reliability and accuracy of the University’s space database information collected through surveys, space audits, campus collaborations, KFS , etc. Campus Planner, University Architect, FM Operations, BFS , DUO , Space Committee, other University leadership and anyone else requesting data with a university business need. Must be available and accurate for all reporting needs that impact funding for FM and the university as a whole.

  • Perform QA/QC of space data through regular quality control queries, reports, and audits. Also, as related to accountability.

  • Maintain data dictionaries and distribute to IWMS users.

  • Collaborate with users of the other IWMS modules to ensure the space data meets their needs for asset management, work orders, preventative maintenance, and other modules.

Duty/Responsibility

  • Responsible for all analyticsassociated with space (allocations and utilization) Provide historical reports on the physical plant growth for the University Planner to supporting the mission of FM, Campus Planning, and the development of the Master Plan. Oversight of space data collection, space audits, data integrity and analysis, which provides information to facilitate and inform university and departmental leadership on planning, and strategic decision making. Assist with and provide space planning as needed. Ensure space is classified according to the Department of Education’s Facilities Inventory and Classification Manual standards and BFS’s Space Utilization Functional Use codes.

  • Develop and maintain procedures and standards for floorplan integration into space database. Create and update Standard Operating Procedures (SOPs) for current and future practices related to floorplans, space planning, and space data to be used by employees working in the department.

  • Analyze and report on space data and utilization by researching, comparing, and critiquing data, including but not limited to program and space categories, functional use classifications, and other institutional data. Space analytics are critical for funding, allocating space, and master planning. Reports are used by Campus Planner, VPUO , BFS (F&A Survey), Space Committee, FM, university leadership, etc.

  • Write complex queries and create custom reports on space information, floorplans, and analysis in a variety of forms. For university partners (ex. NCAA reports for Athletics, building inventory for BFS Insurance, building data for Cleary Act reporting), FM colleagues (ex. Campus GSF for energy/sustainability, space allocation for utility benchmarking), and external reporting (ex. building data for Poudre Fire Authority and National Science Foundation), etc.

  • Create spreadsheets, reports, charts, and graphs for internal and external stakeholders, including reports for university, local, state, and federal organizations. Office of the State Architect Annual Report on all owned buildings, Acquisition & Disposition reports, Building vacancy reports.

  • Plan, develop, and manage space surveys and audits to ensure the space data is accurate through coordination with building proctors, department heads, and other academic and administrative departments. Ensure changes that impact the space inventory are communicated.

  • Collect room use, department, and employee data through drawing curation and audit for quality and accuracy.

  • Develop means to explore utilization, occupancy and other metrics for space that will aid in strategic planning.

  • Collaborate with FM departments on project reviews to ensure space standards and guidelines are followed.

  • Review capital construction and remodel construction services projects, provide space recommendations, and communicate concerns.

  • Develop room numbering guidelines and provide SME and quality control on projects to ensure consistency and adherence.

  • Analyze space allocations to determine if appropriate guidelines, University policy, and programmatic needs are met. Work with the University Planner to determine which programs or spaces should be analyzed, and if the space could be better utilized.

  • Check floorplans for accuracy and standards adherence (polyline placement, layesr, and position and size of labels)

  • At project completion after PM has accepted as-builts, check plans for and correct errors, then export floorplan to AiM

  • Provide space data, reports, and analysis to assist University Planner in setting agendas and facilitating the monthly Space Committee meetings. Provide support as needed to aid decision making. Prepare and distribute meeting minutes. Manage and track space requests, reviews, and approval process for Space Committee consideration.

  • Maintain Space Committee website by updating the content on the website monthly using Wordpress Elementor software to communicate space standards and guidelines, space requests, and resources.

  • Be the backup for the Campus Planner for Space Committee facilitation, as and when needed.

  • Collaborate with and support additional committees ( PDC , CRB , etc.) as a consultant on space use and analysis.

  • Review department requests for construction services to ensure requestor is assigned to the space and the type of change to the space is appropriate and meets Space Committee guidelines.

  • Review capital construction documents at various phases of design process for room numbers meet CSU design standards; numbering is logical and provides for effective wayfinding; offices meet size recommendations set by CSU Space Committee; and General Assignment Classrooms conform to standards set in CSU Facilities Design Standards.

  • Utilize above knowledge and experience to create graphic and analytical space planning solutions as needed and requested .
