What a typical day as a Office Administrative and Customer Support might look like:

Responsibilities:

l Manage, track, and control service agreements. Work with contractors to renew existing service agreements or develop new ones. Review service agreements to identify discrepancies, write requisitions for new or renewal service agreements, and maintain service agreement files in an orderly fashion.

l Process all work orders. Make copies of original work orders, enter them into a tracking database, and store copies in a binder until completed. Review work orders for GDP errors, enter completed work orders into the tracking database, and file them.

l Generate Equipment Parts List Reports for parts inventory.

l Process all PM task sheets. Use the PM scheduling spreadsheet to print a list of each month's PMs.

l Print out each month's PM task sheets, sort them, and deliver them to the appropriate Department Manager. Deliver inventory sheets to inventory personnel.

l Review completed PM task sheets for GDP errors, create work orders when corrective action has been identified on PM task sheets, update the PM scheduling spreadsheet with the date work was performed, and file completed PM task sheets.

l Assist contractors as needed. Escort contractors within the facility when needed. Train contractors on the proper way to fill out work orders, PM task sheets, and equipment log books. Ensure that contractors are properly trained in cGMP procedures.

l Perform data entry within a Computerized Maintenance Management System (CMMS). Track equipment histories, work orders, PMs, and inventory. Run reports as required.

l Create or revise existing Planning Department operational SOPs and forms as required.

l Create new or revise existing PM task sheets as required.

l Maintain files in an audit-ready state.

l Manage projects and monitor work performed by contractors.

l Write Change Controls when needed.

l Manage the Engineering Service Request tracking and routing process.

l Assign Equipment Numbers, create PM task sheets, and parts lists for new equipment. Maintain Equipment Location information.

l Serve as the Facilities Department Training Representative, including data entry and report generation.

l Fulfill requirements for assigned action items.

l Prepare and distribute equipment logbooks.

l Attend and actively participate in all internal and external training programs.

l Participate in and address issues found during internal and external audits.

l Create a weekly Emergency On-call response and weekend contact list.

l Perform other assigned duties as needed.

l Provide training to facilities personnel.

This job might be an outstanding fit if you:

Qualifications:

l Minimum of a high school diploma; an associate degree is preferred

l Must hold a current and valid driver's license

l Preferred Qualifications:

l Ability to develop reliability reports to assist in identifying areas of concern that could develop into future problems

l Soft skills: communication (oral/written), problem-solving, demeanor, necessary pace, influencing skills, leadership skills, negotiating skills are a plus

l Ability to work independently, in a group setting, with little direction, or with direct supervision

l Strong knowledge of site CMMS (Blue Mountain)

l Proficiency in Microsoft Suite (Excel, including creating formulas; Word; Visio; PowerPoint)

l Good communication skills

l Customer-facing skills

l General computer knowledge

l Ability to work independently, in a group setting, with little direction, or with direct supervision.

l Knowledge of FDA and ISO requirements in a manufacturing/laboratory environment is a plus.
