Job Description:

Pre-Award Grant Management:

-Assist in the submission of complex grant proposals to Federal as well as private agencies. Provide guidance to faculty, staff, and trainees in the Department on the accurate completion of all forms, entry into UFIRST, budget preparation, and ensure the proposal is submitted by the posted agency deadline.

-Review contract and grant proposals for accuracy, completeness, and compliance with approved policies and procedures before submitting.

Post-Award Grant Management:

-Responsible for monitoring budget and award releases for salary, OPS, expense, travel, equipment, and indirect cost for all assigned divisions and ensures that the grant funds are used in the proper category throughout the life of the award. Facilitates the completion of all post award transactions to include budget transfers, JE’s, CAS Exemptions requests, animal invoices, etc.

-Responsible for entering salary distributions for all faculty and staff assigned, with a higher level of complexity. Actively monitor payroll distributions by entering current changes and RETRO distributions as instructed by divisional administrator or as budgeted in the grant. As an integral part of maintaining accurate effort distributions, the incumbent will serve as the department’s faculty activity reports (FAR) and Effort Initiator. The incumbent will also work with the Director on maintaining and reporting space as it relates to the department.

-Run departmental reports, coordinate preparation of financial reports and budget projections for each principal investigator for contracts/grants and provide advice regarding fund utilization when requested.

-Maintains auditable accounting records. The incumbent assists principal investigators and division administrators in all aspects of grants management, including the development of budgets and related documents for contract and grants requests, including progress reports.

-Stay current with all university fiscal policies as to percentages of fringe benefits, overhead requirements, etc., and keep all principal investigators informed of any changes in current rules and regulations regarding submission of grants. Interprets and implements accounting policies of granting agencies for principal investigators and program directors. Exercise management controls and fiscal accountability in all research and grant endeavors.

-Assist in providing training, guidance and support to a Research Administrator II on proposals, policies, and compliance.

Assigned as the Department alternate to serve as an alternate Department Security Administrator (DSAs) and Security Role Approver. This position will also serve as the alternate for payroll and time reporting. Any other duties, as needed, to fulfill the mission of the Department.

Expected Salary:

$69,000 - $79,000 annually

Minimum Requirements:

Bachelor’s degree and three years of experience in grant and contract administration; or an equivalent combination of education and experience.

Preferred Qualifications:

Previous experience in both pre-award and post-award, with experience managing various award types such as, NIH, DOD, AHA, etc. The candidate should be proficient with University and agency guidelines, for agencies such as the NIH, DOD, NSF, the state of Florida Department of Health, and other foundations.

Experience with University and state regulations regarding sponsored research administration fiscal and budget matters, and human resources.

Exceptional ability to manage time wisely and prioritize appropriately.

Ability to establish and maintain effective working relationships with faculty, administrative staff, trainees, and like individuals in both other Departments in our University as well as will those outside of our University.

Ability to make independent decisions regarding policies and procedures.

This position is located on the main campus in Gainesville, Florida and may be eligible for a remote work location after satisfying the University’s six-month probationary period.
