What you will do

The Sales Operations Specialist is responsible for preparing documentation and/or verifying the accuracy of documents prepared internally or by our dealer body, for all customer financing and programs offered by Volvo Financial Services USA (VFS USA). The Sales Operations Specialist will be responsible for managing the retail contract documentation process for the Truck Sales channel. The Specialist ensures timely and accurate processing of retail contracts that includes receipt, processing, validation, audit, system updates, and submittal for funding. They provide the highest level of customer support to VFS dealer and customer portfolios in the US. In this role, you will create a best-in-class customer experience by ensuring positive and flawless customer onboarding with VFS.

Responsibilities:

• Manage and audit documentation preparation and execution, including communications with dealers, customers, District Finance Managers, and legal counsel.

• Actively engage with commercial field and inside sales teams to achieve commercial targets.

• Ensure accuracy and sufficiency of all contract package submissions.

• Track and follow-up on any missing items ensuring documentation packages are ready for funding in a timely manner.

• Manage reporting, communications, and exceptions proactively

• Approach the position with a continuous improvement mindset, identifying areas for improvement and contributing to the implementation of improvements.

• Manage and proactively support both internal and external customers by providing a superior level of service as well as a proactive and educational approach to industry issues and concerns.

• Assist with completing various Contract and Asset management tasks relating to insurance, titles, UCC and contract file management required to complete each transaction.

• Lead in training on all systems and processes within Sales Operations.

• Active member of a cross-functional team to gain a detailed understanding of their processes and procedures and how they relate and influence the overall Customer Experience.

• Participate in defining the business requirements for designing and testing a state-of-the-art system to streamline the deal flow process and maximize turnaround times.

• Assist Legal Counsel in identifying opportunities to streamline our documentation packages.

Education and Experience:

• Prior captive equipment finance and leasing company experience preferred.

• Credit, accounting, and pricing knowledge and experience is a plus.

• BA or BS in business a plus.

• Experience managing customer issues including proactive problem-solving, research, and analysis with a focus on win-win solutions.

• Proven organizational skills with the ability to prioritize work and effectively work on multiple tasks in a fast paced, demanding environment.

• Experience working in a professional environment where sound business judgment, attention to detail, a fast pace and a flexible and adaptable approach are valued.

• Demonstrated high level of integrity, energy, and a positive customer and quality focus with ability to work within a team environment.

• Proven written, verbal, and interpersonal communication skills.

• Fluency in reading, writing and speaking English; additional languages a plus.
