Quinnipiac University Dean's Administrative Assistant, School of Communication in Hamden, Connecticut

Overview: Quinnipiac University invites applications for the position of Dean's Administrative Assistant for the School of Communications. This position will provide high level executive assistant support for the Dean of the School of Communications. Act as liaison between the school and other university offices.

Responsibilities:

  • Maintain professional, welcoming operations of the Dean’s Office, ensuring coverage and efficient operations.

  • Manage professional communications including phone calls, correspondence, memos, minutes, newsletters, reports, grants, and forms, for both internal and external relations. Proofread and edit work for accuracy, format, punctuation, and construction.

  • Adhere to deadlines, update contact lists, and organize and maintain School records using University standard software and tools.

  • Attend meetings as needed for minute taking, transcribing and distribution.

  • Manage the Dean’s schedule including scheduling meetings and appointments and maintain calendars for School meetings and special events.

  • Assist in creating presentation materials such as PowerPoints, fliers, handouts, brochures, etc.

  • Assist the Dean in monitoring the school’s budget. Use Excel, ChromeRiver, BuyQ and other University financial platforms to support disbursement and use of School funds, including processing payments, reimbursements, faculty, staff, and student awards and stipends, and transfers of funds. Maintain financial records for the school.

  • Maintain the confidentiality of issues presented to the Dean’s office, including the privacy of faculty, staff, and students, regarding personal, academic, and related professional issues presented to and discussed within the Dean’s office.

  • Order office supplies, computer equipment, promotional supplies and items for special events as needed.

  • Arrange conferences, receptions, meetings, and special events. Manage travel arrangements, notify participants, and arrange for all materials, facilities, and support functions.

  • Other clerical duties as assigned.

    Education Requirements:

  • High School Diploma or GED required.

    Qualifications:

  • Demonstrated high-level administrative experience which includes advanced computer skills and demonstrated experience with Microsoft Office.

  • Excellent verbal and written communication skills, including editing and proofreading.

  • Excellent planning and organizational skills. Ability to take initiative and ownership of projects.

  • Demonstrated ability to handle sensitive issues and maintain confidentiality.

  • Demonstrated ability to perform duties with a high level of professionalism, flexibility, diplomacy and tact.

  • Ability to multi-task and adapt to changing priorities and deadlines.

  • Demonstrated ability to work with diverse populations and a commitment to diversity and inclusion
