IUPAT Administrative Assistant to the Executive Director in Hanover, Maryland

Description/Job Summary

The Labor Management Cooperation Initiative (LMCI) headquartered in Hanover, MD, currently has an open position for Administrative Assistant. The Administrative Assistant position will report directly to the Executive Director.

The successful candidate will be a high energy, proactive, and customer service-oriented individual with excellent interpersonal skills - an approachable, open-minded, team player who is comfortable working collaboratively and in partnership with others. This is a key position for the future success of the iFTI-LMCI. Initiative, creativity, and outstanding written and verbal communication skills are a must. The ability to collaborate and interact well with executives and staff at all levels is required to succeed.

This position is responsible for workflow coordination, organization and efficient administrative support of the LMCI Executive Director, including providing diversified administrative support, and coordinating special projects as needed.

The incumbent works with minimal instruction or supervision and must be able to multitask and prioritize a wide variety of assignments as designated by the Executive Director. Candidate must be well organized, and exercise the ability to work independently and collaboratively

Responsibilities/Duties

  • Provide administrative support to the LMCI Executive Director

  • Assist Executive Director with preparation of Meetings and Events

  • Generate and review reports, develop presentations, and spreadsheets

  • Take minutes at staff meetings

  • Assure discreet handling of all business

  • Proofread and review correspondences

  • Review, process, and renewal of company insurance policies

  • Create Assignments and vacation requests for iFTI and LMCI Executive and Field Staff as directed

  • Other duties as assigned and/or deemed necessary by the Executive Director

  • The incumbent has the responsibility of providing back-up coverage as needed.

Required Experience

  • Proficient skill in MS Office Applications (Word, Excel, PowerPoint).

  • Basic knowledge of social media.

  • Ability to learn web-based applications.

Preferred Experience

  • 3 to 5 years of administrative assistant and general office experience preferred.

  • Union experienced preferred.

Required Education

Minimum high school diploma required.

Preferred Education

BA/BS degree in related field

Details

Lifting of light boxes may be required in the course of organizing and distributing work in the office.

Use of the computer for approximately 70% of the day. Forty (40) hours will constitute the regular work week. The working hours will be eight (8) with 30 minutes for lunch per day. Optional flex start window times as follows: 7:00am - 9:00am.

Position based in Hanover, MD with occasional travel.

$60,000 - $65,000 Annually, plus generous benefits package (including healthcare and retirement benefits).
