Robert Half Senior Administrative Assistant in Honolulu, Hawaii

Description

We are currently seeking an experienced and highly organized Senior Administrative Assistant to join our team. The successful candidate will perform a variety of tasks, from office management to providing executive-level support. This Senior Administrative Assistant role is demanding and requires a professional who is capable of managing their workload, prioritizing tasks in a fast-paced corporate environment. Responsibilities:

  • Provide full administrative support to senior management, including handling confidential matters with discretion.

  • Manage day-to-day operations of the office, including screening phone calls and mail, setting and managing appointments, arranging travel and accommodations, and preparing expense reports.

  • Coordinate and organize meetings and events, including preparing agendas, materials, and minutes.

  • Assist with the preparation of presentation materials and reports, using software such as Word, Excel, and PowerPoint.

  • Maintain effective document and filing management systems, both electronic and paper.

  • Conduct research, compile data, and prepare reports for consideration by executive management.

  • Handle internal and external communication in a professional manner.

  • Assist with human resources functions such as recruitment and onboarding, as needed.

  • Perform other duties and special projects as assigned.

    Requirements

Qualifications:

  • Proven experience as an Administrative Assistant, or similar role.

  • Excellent verbal and written communication skills.

  • Proficiency in current office software, such as Microsoft Office (Word, Excel, PowerPoint).

  • Strong organizational skills with the ability to multi-task.

  • Detail-oriented and capable of prioritizing tasks to meet deadlines.

  • Ability to work independently and also as a team player.

  • Knowledge of office management systems and procedures.

  • Strong decision-making ability and problem-solving skills.

  • High level of confidentiality and ability to handle sensitive information.

  • Bachelor's Degree in Business Administration or relevant field is an advantage
