Per our J&J Flex Policy, the expectation for this position is to work in office 3-4 days per week and work from home 1-2 days per week.

The Senior Administrative Assistant, who will be a member of the J&J Immunology U.S. Medical Affairs organization and will provide comprehensive administrative support to the Senior Director, Strategic Lead, Rheumatology TA as well as support for the Strategic Lead, Dermatology TA, Psoriatic Disease Field Medical, Real-World Value & Evidence and their respective teams. This position requires a highly organized, self-motivated assistant who is comfortable working in a fast paced, complex environment.

Key Responsibilities

  • Provide direct support for the Sr. Director, Strategic Lead, Rheumatology TA including calendar management, travel and expense coordination and related activities, as well as programs and initiatives led by the Sr. Director.

  • Provide support to the Strategic Lead, Dermatology TA, Psoriatic Disease Field Medical, Real-World Value & Evidence and related teams, including calendar management, travel and expense coordination and related activities within the teams.

  • Manage planning for large department meetings/events, the Sr. Director’s Leadership Team activities, and external event planning & execution.

  • Coordinate recruiting activities and assist with onboarding/transition of new team members.

  • Manage department materials (e.g., organization charts, distribution lists, conference rooms) and support SharePoint and other related repositories.

  • Knowledge with HR systems, productivity tools and portal technology (i.e., Our Source, Workday, SharePoint, IRIS, ZOOM, MS Teams) is required. Experience working with Ariba/eMarketplace, Aravo, Totality is strongly preferred.

  • Collaborate with other franchise and administrative staff.

  • May perform other duties as assigned.

Qualifications

  • A minimum of a high school diploma is required; a Bachelor’s degree, advanced education or training is strongly preferred.

  • A minimum of 4 years experience is required; Experience in the pharmaceutical industry supporting scientific/medical pharmaceutical teams preferred.

  • Expert skills in Outlook, PowerPoint, Excel and Word are required.

  • Proficiency with productivity tools and portal technology (Workday, OUR SOURCE, MS Teams, Zoom, SharePoint, etc.) is required.

  • Excellent verbal and written communication skills, with exceptional interpersonal skills are required.

  • Meticulous orientation to detail and must possess strong communication and organizational skills.

  • Sense of urgency required while demonstrating a high degree of professionalism is required.

  • Demonstrated experience interacting with senior level management and maintaining a high level of confidentiality is required.

  • Ability to successfully prioritize and provide accurate follow up on all issues and correspondence is required.

  • Self-starter with a strong sense of ownership and involvement is required.

  • The ability to manage complexity, work with minimal supervision, and adapt in a fast-paced environment is required.
