MD Anderson Cancer Center Academic Coordinator - Graduate Medical Education in Houston, Texas

This position will perform complex, independent, administrative duties related to human resources, educational appointment credentialing, academic program support, and database maintenance, ensuring compliance with institutional regulations, for the Institution's clinical health education trainee population.

Key Job Functions

Credentialing

· Administer the day-to-day operations of the onboarding application credentialing process for Clinical Health Education Professions programs (CHEP) residency and fellowship training programs.

· Perform complex, independent administrative duties related to credentialing by processing all aspects of educational appointments and reappointments in compliance with departmental and institutional policies, government regulations, and appropriate oversight agency requirements for the institution's trainee population.

· Act as liaison between the Program Director and a full range of internal and external offices to keep them apprised of important issues related to the trainee onboarding.

· Interprets and applies CHEP requirements and other national accrediting agencies to support compliance; serves as a primary source for trainee verification by outside agencies.

· Ensure resident/fellow compliance with hospital and MD Anderson CHEP credentialing requirements, including licenses, verifications, immunizations, EPIC training, and other training as required.

· Field questions from trainees regarding visas, and consult with the MD Anderson VISA office as appropriate on all visa matters.

Human Resource Management

· Consultant to CHEP programs on issues related to trainee appointments and other program-related matters. Consults with the Director, GME on more difficult issues.

· Compiles and updates the CHEP Trainee, Program Coordinator, and Program Director policy manuals.

· Provides leadership, direction, ongoing feedback, and development support to the CHEP program coordinators and organizes workshops/meetings.

· Process vacation/leave request forms for trainees.

· Monitor and track PeopleSoft for program operations including salaries, stipends, and other operational costs for trainees.

· Process HRIS error reconciliation; provide timely and accurate reporting.

· Oversee budget related to CHEP training program FTEs.

Liaison to Training Program Staff and Trainees

· Provide leadership, guidance, support, and education to programs and departments regarding educational appointment of trainees, to ensure compliance with institutional policies, government regulations, and appropriate oversight agency requirements.

· Provide advisory assistance and serve as a resource to both incoming and current trainees with regard to appointment processing.

· Serve as liaison between the home institution and the MD Anderson host department for affiliate programs/schools with which MD Anderson has an education program agreement.

Data Management

· Manage and maintain information systems, dashboards, and databases pertinent to educational programs and trainees.

· Provides monthly metric reports to the Director, GME.

· Provides New Innovations support to the CHEP Program Coordinators; manages the trainee tracking database for CHEP trainees.

Other Duties

· Meets regularly with the Director, GME concerning program issues and comes with proposed resolve; provides regular updates on the status of projects.

· Identifies and evaluates the methods for improving workflow and cost effectiveness and makes recommendations to the Director, GME for improvement.

· Serves as non-voting member of the GME and CHP Committees/Subcommittees; attends meetings regularly.

· Special projects as assigned.

· May assist in policy development.

· Monitors the renewal process for education agreements.

Education

Required: Bachelor's degree.

Experience

Required: Three years professional human resources, education or business experience. May substitute required education degree with additional years of equivalent experience on a one to one basis.

Preferred: Three years of experience in administration of GME accreditation compliance at the institutional level.
