MD Anderson Cancer Center Administrative Assistant - Fac Mgt EHS Administration in Houston, Texas

SUMMARY

The primary purpose of the EH&S Receptionist position is to greet visitors and employees. Provide support to EH&S by answering incoming calls, interacting, communicating and providing assistance to customers across organizational lines. Routing calls to the appropriate EH&S personnel for further assistance and follow up with customers, as necessary.

JOB SPECIFIC COMPETENCIES

RECEPTIONIST DUTIES • Provides support by answering incoming calls to the main phone line.

• Monitors, forwards, and follows-up all askEHS@mdanderson.org email inquiries.

• Provides information and/or dispense literature on our products and services to customers on services such as; Ergo Assessments, Spills, Waste Pick-up, Safety Seals and Recycling.

• Monitors EHS assigned conference rooms through Outlook calendars and follows up with customers as needed.

• Interacts, communicates and provides assistance to customers across organizational lines by directing customers to appropriate EH&S staff and following up.

• Orders copier supplies through copier vendor and calls in copier service maintenance.

• Sorts and distributes incoming mail and deliveries.

• Manages and monitors vehicle reservations.

• Requests and manages parking validation tickets.

• Assists with departmental activities.

• Updates FM Portal.

• Supports general office appearance.

OFFICE SUPPLIES • Maintains supply closet and restocks as needed.

• Orders office supplies for the department via Resource One.

OTHER DUTIES AS ASSIGNED • Prepares and processes assets for shipment to warehouse.

• Prepares and processes items for shipment including lab samples and overnight shipments.

• Maintains and submits fleet management vehicle logs.

• Maintains defensive driving training list.

• Assists with special projects as needed.

Other duties as assigned

High school diploma or equivalent. Four years of administrative/secretarial experience. With preferred degree, no experience required. Must pass pre-employment skills test as required and administered by Human Resources.
