MD Anderson Cancer Center Senior Administrative Assistant - Behavioral Science in Houston, Texas

The primary purpose of the Senior Administrative Assistant position is to support one or more faculty members and/or supervisors by organizing and coordinating assigned activities, and perform varying and extensive complex secretarial duties requiring considerable responsiveness to management and staff needs in an academic setting. The position requires level- specific judgment, responsiveness, initiative, and independent decision-making while demonstrating excellent interpersonal and communication skills in and outside the department.

KEY FUNCTIONS

Administrative Duties

•Compose correspondence; perform word processing; edit and proofread documents

•Complete and submit institutional documents (requisitions and forms)

•Maintain filing systems and manage records

•Answer phones and record messages; as assigned, communicate information on behalf of supervisors

•Arrange meetings and conferences

•Prepare presentations

•Implement tracking systems, for example, reimbursement requests & payments, calendar invitations, assignments and various requests

Professional Document Maintenance

•Assist with manuscripts, abstracts, and reports

•Maintain EndNote or other reference databases by adding new references, revising or updating existing references, and downloading abstracts

•Track stages of article/book chapter submission, provide status updates, revise professional documents

•Maintain professional documents such as other support, Biosketch, CVs in various formats for faculty members and as necessary, for their collaborators

•Review documents with faculty on a regular basis to assure accuracy of information and timely revisions

Financial Duties

•Maintain expense logs and transaction documentation and perform reconciliation of expenses on various financial accounts

•Complete monthly expense review (stat reports)

•Coordinate travel arrangements and reimbursements

•Facilitate procurement of resources and services

Grant Submissions

•Coordinate the submission of grant applications and manuscripts, following procedures

•Modify documents to meet standards for submission

•Input information to compile sections for grant and manuscript submissions

Other duties assigned

•Attend and participate in meetings

•Assist with training and orientation of personnel to administrative procedures

•Perform tasks associated with special or ad hoc projects

•Coordinates specials projects and activities as assigned by faculty or the department administration

EDUCATION

Required: High school diploma or equivalent.

Preferred: Bachelor's degree.

EXPERIENCE

Required: Five years of administrative/secretarial experience. With preferred Associate's degree, three years of required experience and with preferred Bachelor's degree, one year of required experience. Must pass pre-employment skills test as required and administered by Human Resources
