Job Overview:
Facility Manager is responsible for leading, implementing, measuring and directing all supply chain activities for Distribution Services including, perpetual inventory, receiving and distribution within the facility. Facility SC Manager reports directly to the Site Supply Chain Director.
Qualifications:
Required:
Three to five years of Supply Chain experience required including purchasing, data collection, reporting and inventory management
Three to five years managing direct reports
Preferred:
- BA/BS degree preferred

Day, 8:00am 4:00pm
5 days a week
Full Time 40.00 hrs.
Essential Functions:
Oversees procurement activities for in-patient and ancillary departments in a cost-effective manner with effective inventory management. Responsible for managing inventory levels and product demand using PAR tools to ensure product availability while minimizing inventory cost.
Collaborates with Clinical Resource Director (CRD) for approval on all newly requested items prior to requisition.
Serves as a liaison between facility supply chain operations, executive and department leadership, value analysis and finance.
Primary contact for vendors regarding vendor performance, concern resolutions and standardization.
Manages facility supply chain staff and activities for designated supply areas within the facility
Oversees daily receiving operations and adheres to Corporate policy regarding all receiving procedures and standards
Oversees PAR management to achieve PAR optimization and meet Key Performance Indicators (KPI s)
Performs daily and monthly inspections/rounds in all areas managed by SC Ops; documents findings and reports to Director; review findings with staff to identify areas for improvement
Maintains the integrity of the perpetual inventory by performing timely transactions and verifying incoming stock updates the inventory
Maintains facility perpetual inventory using the Auto Replenishment tool and establishes Min/Max based on data driven reports
Places storeroom stock items, not in the low unit of measure program, on PARs to scan and generate pick tickets to replenish supply requests
Performs monthly cycle counts
Performs year-end counts of the perpetual inventory and reports outcome to finance and corporate supply chain
Responsible for improving efficiencies including receiving, storage and accounting of supplies
Manages overnight/2nd day STAT orders to ensure monthly Key Performance Indicators (KPI s) are met or exceeded
Ensures all Corporate KPI s are meet or exceeded
Works with Clinical Resource Director (CRD) on identifying clinically acceptable substitutes for backordered products
Generates reports to identify cost savings
Assists in the reconciliation of spend vs. volume when requested
Oversees and reviews current department practices to assure system policies and procedures are being followed
Ensures all staff are reviewing the SC Policy & Procedures loaded on the Bridge, annually
Records and documents any and all supply waste captured. Monitors expired and short-dated items to avoid waste and financial loss
Reports this information to the Site SCD on a monthly basis
Manager will conduct monthly documented audits to assess for any cardboard boxes, inventory stored on the floor, inventory stored above 18 from the ceiling, expiration dates, dirt and dust in bins. All identified issues require an action plan with resolution dates
Assists Site SCD to facilitate physical inventories
Performs delegated tasks and special projects as assigned by Site SCD
Manages personnel functions including training to achieve maximum staff productivity using automated systems to reduce supply chain expense. Also manages supply chain time and attendance. When needed coordinates training needs with the Site SCD and the RWJBH SC Educator
Acts as a subject matter expert (SME) for special projects, including training support in PeopleSoft. Collaborates with risk management to identify items by department following the RWJBH Policy on recalls
Tracks and monitors all recalls of supplies through ECRI and other notifications
Works with risk management to identify recalled items by department following the RWJBH policy for recalls
Tracks all tissue from the dock to the department and documents temperature upon arrival
Execute CRD and VAT approved conversions in a timely manner. Communicates changes to staff and end users, changes PARs and labels within 14 days of notification.
Responsible for identifying and reporting safety concerns, medical errors, device malfunction, and facility damage (walls, ceiling tiles, etc.)
