Kilgore College Executive Assistant to VP - Student Life & College Affairs in Kilgore, Texas

Position summary:

The Student Life division is responsible for providing outstanding service in a caring and supportive environment in the areas of campus life, student activities, testing, campus police, athletics, and Rangerettes.  This position assists the Vice President with administrative and business duties related to oversight of the division and provides clerical support for the world-famous Kilgore College Rangerettes.  Assist with daily activities, budget preparation, and special projects.  Must maintain confidential and sensitive information. 

Position responsibilities:

 

  • Creating and maintaining a professional, service-oriented office environment and ensuring that the functions of the office run smoothly and efficiently. 

  • Scheduling appointments and keeping the Vice President’s calendar up-to-date.

  • Screening calls, visitors, and sorting mail.

  • Processing purchase requisitions and supporting procurement needs for the Office of the Vice President, Rangerettes, Student Activities, as well as other departments on an as needed basis. 

  • Assist with budget preparation and tracking for the division.

  • Providing administrative support in preparing the Vice President for upcoming meetings by preparing documents and background material prior to meetings.

  • Taking and preparing minutes for various meetings led by the Vice President.

  • Processing personnel paperwork, facilities work orders, and information technology requests. 

  • Preparing departmental correspondence, reports, presentations, documentation, etc., as requested.

  • Providing support for divisional activities and projects.

  • Serving on appropriate committees.

  • Other duties as assigned.

    Minimum Position Requirements:

  • All applicants should have a minimum of an associate’s degree in office occupations, business, accounting or a related field, and five years full time office experience.  Related professional experience will be considered in lieu of formal education. 

  • Must possess excellent written and verbal communication skills.

  • Must have outstanding computer skills to include word processing and spreadsheet applications.

  • Must be able to interpret and apply administrative policies and procedures.

  • Must be well organized and thorough.

  • Must be able to work well with little supervision and relate well to a diverse student and employee population.

    Physical Demands and Work Environment:

  • Work is normally performed in a typical interior/office and classroom environment.

  • No or very limited physical effort required; however, the employee must occasionally lift and/or move up to 15 pounds.

  • No or very limited exposure to physical risk

  • Occasional after hours and weekend work necessary.

    Position responsibilities:

  • Provide resources for safe operation of units. Create and support workplace safety.

  • Compensation for this 12-month position is $39,480

    Kilgore College does not participate in the federal Social Security program. As a result, employees/retirees of the college are subject to the federal Windfall Elimination Provision (WEP) and possibly the Government Pension Offset (GPO) laws.
