City of Lansing Administrative Assistant (EDP- Building Safety Division) in Lansing, Michigan

The Building Safety Division within the Department of Economic, Development & Planning is seeking an Administrative Assistant who will bring exceptional skills and abilities that will contribute to the success of their team. SPECIAL REQUIREMENTS & TRAINING:   This position requires that the applicant is able to be bonded under the terms of the City's blanket bond. Therefore, applicants cannot have committed any dishonest acts, before or after placement in the position. Applicants must authorize the release of any information from appropriate agencies regarding the applicants' criminal history prior to being given referral consideration.

IDEAL CANDIDATES WILL POSSESS THE FOLLOWING: 

  • Associate's Degree; AND

  • Three (3) years of office secretarial experience which includes work with word processing, spreadsheets, computer software, and cash handling; OR

  • An equivalent combination of training and experience.

  • Knowledge of Michigan construction codes including building, electrical, mechanical, plumbing, and fire, preferred

*ESSENTIAL POSITION FUNCTIONS INLCUDE BUT ARE NOT LIMITED TO: *   

  • Assists the Project Manager with all commercial plan review submittals and permits. This includes scheduling all preconstruction meetings with design professional, general contractor, trade contractors, fire marshal, and inspectors.
  • Must communicate valuation determination and payment processing.  Position will communicate with the design professional and general contractor to make sure the correct valuation of work is provided. This position must be able to communicate the plan review and permit fee schedule.
  • Attends onsite field visits with Project Manager. Answers questions, concerns, or issues that arise onsite. Assists in the scheduling of life safety inspections and coordination with the Lansing Fire Department.
  • Transcribes taped notes taken of meetings of the Building Board of Appeals and types them up on a personal computer or electronic typewriter with a standard keyboard and video display screen.
  • Tracks and processes commercial project related paperwork and plan review designs in BS&A; including verifying State of Michigan licenses.
  • Serves as back up to Project Manager to verify timecards for payroll; ensuring information is entered into the system correctly, make adjustments as needed.
  • Collaborates with Project Manager on processing accounting functions, including paying invoices, balancing monthly reports, issuing refunds, processing purchase orders, IFAS, Visa, and IDVs.
