FINANCIAL SECRETARY

REQUIREMENTS: 1. Must have knowledge of bookkeeping practices 2. Must have an understanding of PC(USA) and GIPC procedures 3. Should be familiar with non-profit accounting and fund management 4. Must be trustworthy and keep the confidence of donors 5. Must be willing to follow the guidance and direction of the Treasurer 6. Must be proficient in Microsoft Excel, accounting software and the internet 7. Must demonstrate accurate attention to detail ACCOUNTABILITY: The Financial Secretary shall be responsible to 1. The Finance Committee, 2. the Treasurer, 3. the Personnel Committee and 4. the GIPC session. The following minimum standards of financial procedure shall be observed: - The counting and recording of all offerings by at least two duly appointed persons, or a fidelity bonded person; - The keeping of adequate books and records to reflect all financial transactions, open to inspection by authorized Church officers at reasonable times; - Periodic reporting of the financial activities to the Board or Boards vested with financial oversight at least annually, preferably more often; -G-3.0113 A full financial review of all financial books and records shall be conducted every year by a public accountant or a committee of members versed in accounting procedures.  Reviewers should not be related to the treasurer (s).  Terminology in this section is meant to provide general guidance and is not intended to require or not require specific audit procedures or practices as understood within the professional accounting community.

RESPONSIBILITY: -Record all incoming monies. Online giving is recorded in Servant Keeper and then in QuickBooks. Offerings and other incoming monies are recorded in QuickBooks. -Enter invoices, issue checks, record credit card transactions and record automatic payments -Pay bills in a timely manner -Reconcile all bank statements -Record investment account transactions including calculating distribution of monthly Mellon disbursement -If required to balance budget at year's end: calculate appropriate investment account withdrawal for finance committee review and session approval -Prepare monthly financial reports and submit to Treasurer prior to submission to the Financial Committee Chairperson prior to the monthly meeting of the Finance Committee -Participate in yearly audit of financial books -Maintain employees' information in Board of Pensions

-Assist Treasurer in preparing the yearly church budget by November 15 th of each year -Enter year end and opening journal entries -Assist Treasurer in preparing annual statements of giving -Record monthly payroll based on reports provided by the payroll firm -Maintain accounting software -Communicate with appropriate staff and session members regarding financial data -Assist with various ad hoc items such as worker's compensation audits and various other issues pertinent to finances that may arise -Work with the payroll firm
