The receptionist will be the first person a client sees. Must be professional, portray good customer service skills, have a working knowledge of answering phones, Microsoft office and have a friendly clear speaking voice.

Responsibilities:

  • Main Tasks

  • Receiving of guest at reception...

  • Recording of guest details in register log and/or computer.

  • Maintain Telephone log book: Keeping inbound calls records

  • Phone management: Answering incoming calls, screening calls, and transferring them appropriately.

  • Information Management: Providing accurate information about the company and its services, both in person and over the phone

  • Maintain Office Environment: Ensure the reception area is clean, organized, and welcoming.

    Procedure of Handling Guest

  • The guest will be received after security clearance by security staff at main lobby entrance of the building

  • The guest will be received with pleasant manner and requested to introduce himself along with the purpose of his/her visit.

  • The proper record of guest's credentials, purpose of visit, to whom they want to meet and from which department or place they belongs.

  • After recording the details, guest will be offered to sit at waiting room and in the meantime concerned department or person will be informed to whom visitor wants to meet.

  • The guest will be guided to the office of concerned person if he allows to meet him at his office otherwise host will come himself to meet him at reception area.

  • Other facilities tasks...

    Qualifications:

  • High School diploma or GED equivalent required.

  • Ability to lift up to 10lbs.

  • 1 to 2 year experience with customer service.

  • Proficiency in MS-Office: Word, Excel, Outlook

  • Ability to appropriately handle confidential and highly sensitive material.
