The Accounts Payable/ Payroll Specialist will be responsible for the financial transactions by processing invoices, expense reports and vendor payments accurately and efficiently. This position will also support the payroll team with processing payroll and special project and will report to the Manager, Accounting A/P.

This role requires you to be on-site at our headquarters in McLean, VA.

Responsibilities

· Enter, match and properly code invoices into designated systems.

· Track and load all incoming Accounts payable invoices into system while adhering to standard accounting principles and practices.

· Prepare weekly payment runs.

· Maintain vendor files and records, including historical records timely.

· Assist with the implementation, testing and enhancement of payroll/accounting systems.

· Collaborate accounting team regarding any concerns related to invoices and payments issues.

· Research and resolve discrepancies with external vendors.

· Respond to client and employee inquiries with superior customer service.

· Assist with month-end close process, including preparation of journal entries and accruals.

· Assist with bi-weekly payroll processing as needed.

· Assist the accounting and payroll team with payroll JE/special projects.

· Assist with internal audits as required.

Qualifications

  • High school diploma or equivalent experience in payroll administration and/ or accounts payable.

  • Minimum 3 years of experience as a payroll/ AP Specialist.

  • Experience handling high volume of invoices at a fast pace while ensuring accuracy and timely payments.

Knowledge, Skills, and Abilities:

  • Highly organized with great attention to detail

  • Strong analytical and problem-solving skills, with an ability to work independently as well as collaboratively in a team environment.

  • Proficient and/or ability to master accounting software such as NetSuite, Concur, Zip HQ, FloQuast, and UKG

  • Must be able to maintain confidentiality of sensitive information.

  • Ability to work independently and accurately under pressure to meet deadlines.

  • Ability to quickly comprehend processes and learn systems and tools.

  • Ability to work in a fast-paced work environment with minimal supervision.

  • Ability to exercise tact and diplomacy when dealing with employees in stressful situations.

  • Possesses strong interpersonal skills.

  • Processes strong written and oral communication skills.

  • Proven experience with accounts payable strongly preferred.

  • Knowledgeable and understanding of accounting principles and payroll best practice highly desired.

  • Knowledge and understanding of federal and state withholding and reporting laws and reporting laws, rules, and regulations.
