Timber Products Company Accounts Payable - Front Office Coordinator in Medford, Oregon
POSITION SUMMARY:
The Accounts Payable Specialist is responsible for processing vendor invoices in the D365 and AX12 systems, handling a high volume of transactions annually. This role requires effective collaboration across the organization as both an individual contributor and team member, while also greeting the public in person and over the phone, always representing the company in a professional manner.
MAJOR TASKS:
• Process vendors invoices for payment out of two systems.
• Obtain general ledger coding and authorization.
• Support team to leverage technology and automate processes.
• Review vendor statements, research invoice discrepancies and resolve differences.
• Receive, record, and forward all Local Sales Invoices (LSIs) from Southern Oregon to Springfield on a bi-monthly basis.
• Greet and screen visitors as to the purpose of their visit. Announce visitor arrival.
• Handle received voicemails in the Medford Admin Voicemail Inbox and distribute to appropriate parties.
• Open and distribute incoming mail, process all internal and external mail for pickup by courier service, and receive UPS/FedEx deliveries and distribute to designated employees.
• Southern Oregon Fleet Administrator. Includes coordination of maintenance, repairs, and mileage tracking for the Southern Oregon Pool Vehicles (5).
• Manage printing and distribution of postage in varying amounts for front office and payroll department needs.
• Oversee inventory and order requests of front office supplies, including office, breakroom, and janitorial supplies.
• Perform routine kitchen tasks, including restocking supplies, maintaining cleanliness, and organizing kitchen areas.
• Other duties as assigned.
SKILL REQUIREMENTS:
• Two to four years of accounts payable experience required, or an equivalent combination of education and experience.
• Attention to detail and the ability to conduct work in a timely, accurate, and organized manner is required.
• Ability to establish and maintain effective working relationships in a dynamic manufacturing environment; including both written and verbal communication.
• Proficient computer skills in MS Office Suite including Outlook and Excel and the ability to learn company specific software. MS Dynamics AX12, D365, SoftCo, & MRP/ERP systems knowledge a plus.
• Wood products manufacturing and mechanical knowledge a plus.
