Position Summary

As the Administrative Assistant/Customer Service Representative you will interact with customers to provide information in response to inquiries about products and services and to troubleshoot and resolve customer requests and problems. The position is responsible for scheduling and maintaining the appointment calendar. This position is also responsible for updating marketing and social media pages (LinkedIn, Facebook, Instagram, & Website) using provided materials.

Responsibilities

  • Reaching out to clients and prospects to schedule annual review meetings via Microsoft Outlook and Zoom.

  • Scheduling policy delivery meetings via Microsoft Outlook and Zoom.

  • Updating client information and notes on Smart Office.

  • Creating and updating contact set lists for marketing emails on Smart Office.

  • Distributing marketing videos, letters, newsletters in compliance with broker-dealer requirements.

  • Obtain financial articles and newsletters for distribution and posting to social media.

  • Oversee birthday card and greeting card distribution for clients and prospects.

  • Planning retirement seminars.

  • Ordering and maintaining inventory of marketing materials (business cards, letterheads, envelopes, calendars).

  • Ordering retirement baskets for clients.

  • Updating company website.

  • Providing financial reports for client meetings.

  • Customer service.

  • Back-up to front desk receptionist.

Qualifications

  • Excellent communication abilities, interpersonal skills and the ability to multi-task

  • Detail oriented and strong data entry skills

  • Microsoft Office Suite experience

  • Problem solver, team player and proactive

  • Smart Office experience a plus but not required

  • Must be able to pass an extensive background check that includes credit check and fingerprinting

Department Account Management & Service

Required Experience: 2-5 years of relevant experience

Required Travel: Negligible

Required Education: Associate degree (2-year degree)
